HomeMy WebLinkAbout05/09/2012 - Museums Bayham MUSEUMS BAYHAM Minutes of May 9, 2012 Meeting Bayham Municipal Office, Straffordville, Ontario Present: Chair-Bev Hickey, Vice Chair- Chuck Buchanan, Secretary- Lynn Acre, Ron Bradfield, Ray Maddox, Brian Masschaele, Jean Woon, Anna Schafer, Matt Schafer, Lynda Millard- Clerk. Absent: Councillor Tom Southwick 1. CALL TO ORDER: Chairman called the meeting to order at 7:00 pm 2. DECLARATION OF PECUNIARY INTEREST: None 3. AGENDA: It was moved by R.Bradfield and seconded by C.Buchanan that the agenda be approved with additions. Motion Carried. a) Request for funding for new Edison Museum building 4. MINUTES: It was moved by L.Acre and seconded by J. Woon that the minutes of the April 11, 2012 meeting be approved as written. Motion Carried. 5. CORRESPONDENCE: i) Melissa Culver of Norfolk County invites us to attend a Cultural Forum on May 24/12 in Brantford at the Odeon Theatre on Market Street. Free admission, opportunity to display & promote our museums as well as forum discussions from 6—9 pm. R.Maddox, C.Buchanan & R.Bradfield interested. j) Maritime Command Museum asking to borrow an Edison electric pen for their exhibit. Since we do not have one, will suggest they enquire with Pt.Huron, Michigan; Digby, Nova Scotia and Greenfield Village, Ohio. k) Lucan Heritage Museum invites us to send them our promotional material and asks that we display their brochures. It was agreed to partner with them. 6. MATTERS OUT OF THE MINUTES: a) Carbon Monoxide Detectors: Chairman Hickey reported that C.Buchanan solved the problem by installing batteries. b) 2012 Flags: Joe Preston's office has supplied 3 new Canadian flags. L.Acre is to provide a Project Ojibwa flag. J.Woon will try to obtain a "Queen's Jubilee" flag. MUSEUMS BAYHAM May 9, 2012 -2- c) Water Leak at Edison Museum: It was discovered that an air vent on the roof had blown off, allowing water to enter and damage the ceiling. Air vent has been replaced and B.Hickey & C.Buchanan volunteered to repair damage to ceiling. d) Drainage at Edison Museum: April 19, 2012 Bayham Council resolved that "Museums Bayham committee take steps to lower the grade on the south and north sides of the Edison Museum and that the exterior caulking be replaced as recommended by the CBO." It was also noted by J.Woon that after a heavy rainfall, water pools by the main entrance on the west side of the building instead of draining into the catch basin nearby. L.Millard will ask CBO to describe what needs to be done and determine whether Bayham PW Dept can do grading. It was noted that underground utility locates are needed prior to digging. e) Hiring Summer Students: After interviewing 7 applicants, 5 were selected, one of which has 2 years of experience with us, 2 of which have 1 year of experience with us, and 2 which are new. f) Ed Mathews'Bathtub Artifact: Since Ed Matthews is not able to restore the bathtub artifact, it was moved by R.Maddox and seconded by J.Woon that we obtain a quote from Donny Albright of Tillsonburg and Mr. Cairns of Eden, to restore this artefact. Motion Carried. 8. NEW BUSINESS: In Camera Session It was moved by R.Bradfield and seconded by B.Masschaele that we enter into an in camera discussion at 7:40 pm to discuss a proposed acquisition of land by the municipality or local (museum) board . Motion Carried. Discussion: Bayham Council have suggested that we move our Edison Collection into the former "Songbirds " Restaurant on Plank Road in Vienna. The positives for this move include; the price of Songbirds is low, the location is more visible to visitors passing through, the building is only 24 years old and is wheel-chair accessible. The negatives for this move MUSEUMS BAYHAM May 9, 2012 -3- include; reduced floor space, insufficient parking, loss of historic-looking building, cost of bringing Songbirds into "museum standard" condition, moisture problems at Songbirds suspected, Songbirds is in `flood fringe "and inconvenience of moving artefacts twice once new museum is built on new site. Decision: Since we understand the need to be careful about spending more money on the existing building, it was moved by M.Schafer and seconded by I Woon that we tour Songbirds together with Bayham Council to assess the options presented. Motion Carried. L.Millard will arrange for a tour date. It was moved by J.Woon and seconded by R.Bradfield that we do rise from the in-camera session at 8:07 pm. Motion Carried. 8. NEW BUISNESS: (Continued) a) Budget Amendments: Now that 2011 actuals have been confirmed, the following amendments were suggested. Revenue: increase by $3,000. Expenses: Decrease by $18,000. ( supplies / office -$1,500; utilities - $3,000; ads/brochures/TODS - $1,500; marketing for new facility- $3,000; building maintenance - $ 2,000; grounds maintenance - $1,000; sundry - $1,500; special projects $1,000; exhibits $500). It was moved by J.Woon and seconded by C.Buchanan that we accept the budget amendments as proposed including the $18,000 reduction to expenses. Motion Carried. b) Aylmer Express Article: The April 13 issue contained a misprint stating that EMM was planning to take over the Marine Museum's collection. It has since been verified with the EMM that they had reported that an offer has been extended to store, display and interpret the MM's collection. B.Masschaele suggested that EMM should request that Aylmer Express print a correction. MUSEUMS BAYHAM May 9, 2012 -4- c) Mennonite Community Quilt Trail: An independent barn quilt trail, funded by the Sand Plains and coordinated by Donna Lunn, is promoting cross-culturalism of Mennonites. They have requested to erect a 5' x 5' quilt square at each of the museums and the Wind Interpretive Centre. It was moved by J.Woon and seconded by C.Buchanan that we whole-heartedly agree to invite the Mennonite Community Quilt Trail to erect quilts at both museum sites as well as the Wind Interpretive Centre site. Motion Carried. d) Birds in Marine Museum: L.Millard received a report that birds were entering the museum through an opening in the steel roof along the eaves. As this has been happening for years, and since there has been no apparent damage , it was decided to take no action. e) Museums Bayham Membership: B. Masschaele announced that he will soon need to resign due to conflicts with his sons' sporting activities. It was noted that Ian Raven of the Elgin Military Museum is interested in joining our committee or be an advisor if we prefer. It was moved by M.Schafer and seconded by C.Buchanan that we postpone any decision to invite I.Raven onto the board until the year's end. Motion carried. J) Request for Funding for New Edison Museum: M. Scafer suggested that we officially request funding from the Palmer Estate for the construction of the new Edison Museum. He volunteered to speak with Doug Gunn, a trustee. He would like to take along Lew Acre's drawings of the new structure. It was moved by M.Schafer and seconded by J.Woon that we request funding from the Palmer Estate for the construction of our new Edison Museum. Motion Carried. 9. NEXT MEETING: Wednesday June 20, 2012 at 7:00 pm Municipal office. 10. ADJOURNMENT: It was moved by R.Bradfield and seconded by L.Acre that the meeting be adjourned at 9:00 pm.
