Call to Order Bev Hickey called the meeting to order at 7:00 pm Wednesday July 10th, 2019. 2. Disclosure of Pecuniary Interest: None 3. Review of Items Not on the Agenda Margaret Underhill circulated the June 26 Aylmer Express article featuring the June 15 Marine Museum exhibit opening for "60 Years of the St. Lawrence Seaway" with special items from Margaret Lang on display 4. Announcements: None 5. Delegation(s): None 6. Approval of Previous Meeting Minutes: (a) Motion to adopt minutes of June 12th, 2019 Museums Bayham meeting. Moved by Chuck Buchanan, seconded Jeff Robinson to accept minutes. All in Favour. 7. Correspondence 7.1 Receive for Information (a) Curator Report for June 2019 (attached) — Motion to receive Curator's report was reviewed by Board Members. Motion to accept Curator's Report as information. Moved by Jeff Robinson, seconded by Chuck Buchanan. All in Favour. Margaret Underhill shares that the first Children's program in collaboration with the Port Burwell Library was held Tuesday July 9th, 10 children registered. 7.2 Action Required Chuck Buchanan asks when the museum display at the Ontario Legislature building will be installed. Margaret explains that on August 8th Jennifer Beauchamp would like to take the Museums Bayham Board Minutes June 12/19 summer students with her to install the display and will be looking for volunteers to cover the Marine Museum that day. Bev Hickey volunteers to cover the Marine Museum from 10:00 to 5:30 pm the day arrangements are made to install the exhibit at Queen's Park. 8. Unfinished Business Arising from the Minutes: 8.1 Lighthouse Exterior/Interior Condition — Margaret Underhill reports that the grant application is still being reviewed. Over $100 000 in funding has been requested through the grant. Staff are looking to address the water damage issues on the Lighthouse long term. Jeff Robinson asks if new solutions have been researched and suggests asking the Lighthouse Association that tours in September for advice. Margaret Underhill explains that research or seconded opinions regarding possible solutions will be conducted as needed as repairs are dependent on grant approval. 9. New Business: 9.1 Receive for information (a) Chuck Buchanan made motor stands last winter for the Marine Museum. Jennifer has requested one more to be made to mount the last large motor. Chuck will submit the costs after building. While looking into the motor stands Jennifer asked about the old wood that is in a corner at the museum. Chuck explains that it is the wood from the original shank of the anchor from the Nimrod. After being recovered and exposed to air the wood deteriorated very quickly and this part of the anchor was replaced. Jeff Robinson suggests labeling the pieces to explain what the wood is from. (b) Albert White reports that a brass wheel that is to be mounted in the Wheelhouse will be stored in the museum temporarily for safekeeping. 10. Finances (budget): Museums Bayham Budget 2020 and actual up to May 31, 2019 Margaret Underhill shares the budgets with board member, she explains that they are amid getting the operating and capital budgets for 2020/2021. Not much change will be visible. A slight increase will be visible on certain items as basic costs for wages, and maintenance will always increase. The year to date budget report ends May 31, 2019. No admissions numbers will be visible until later in the year due to the timing of the report. The budget is tight, but there is still money left aside for HVAC upgrades and funds in 2022 have been allotted for handicap accessible washroom upgrades. Jeff Robinson asks about the decrease in the Revenue wages section. Margaret explains student wages are subject to grant approval. In 2019 all grants were approved, but that may not be the case in future years. The budget reflects caution regarding funding subject to approval. Motion to receive the Museums Bayham Budget 2019 and the proposed budget for Museums Bayham Board Minutes June 12/19 2020/2021 and pass to treasurer to present to Council moved by Chuck Buchanan, seconded by Albert White. All in Favour. 11. Other Business None 12.
