Joint Cemetery Board Meeting Minutes
Bayham Municipal Office, Council Chambers
56169 Heritage Line, Straffordville
November 14th , 2018 at 7:00 p.m.
Present were: Ralph Carter, Marlene Carter, Jim Tait, Lynda Millard, Perry Grant,
Joanne Oostrom, Ed Carter, Vera Dickhout, Daphne Dickhout, David Andrews, Bob
Gregson, Treasurer Lorne James and Deputy Clerk Brenda Gibbons
1. Call to Order&Appointment of Chairman
The meeting was called to order at 7:00 p.m. Jim Tait was appointed Chairman.
2. Disclosure of Pecuniary Interest
No disclosures of pecuniary interest were declared.
3. Review of Items Not on the Agenda
None.
4. Announcements
Reminder of Volunteer Appreciation to be held November 15, 2018 at 6:00 p.m. at the
Straffordville Community Centre.
5. Delegations
None.
6. Minutes of meeting held October 17, 2017 for approval

THAT the minutes of the Joint Cemetery Board Meeting held April 3, 2018 be approved
as read.

7.1 For Information Only
None.
7.2 Action Required
a) Municipal Treasurers Report
a. Other Matters— HST, Care and Maintenance
The Annual Report will be presented at the April, 2019 meeting as the
year end will then be closed.
2018 Care and Maintenance cheques were distributed.
b) 2019 Maintenance
a. Please bring, or provide in advance a written listing of
maintenance works (tree trimming and removal, requested to be
conducted in 2019/2020. The Municipality will issue a single RFP for
the works.
The Treasurer reminded all boards to give consideration to any
maintenance work required and advise as soon as possible.
Spraying was conducted at all cemeteries and will occur annually.
c) Investments
a. Investment Options for the Local Cemetery Boards
The Treasurer provided an outline of investment options and encouraged
boards with funds in excess of$5,000 to consider investing same or
depositing in savings account.

9. New Business
None.
10. Finances (budget)
The Treasurer advised there are no specific items noted in the 2019 Operating Budget
and the 2019 level of expenditures for Inactive Cemeteries will be the same as that of
2018.
11. Other Business
a) Request to Council for resolution to promote financial support from the
public for Bayham cemeteries to be used for decoration days or as desired
throughout the year.
The Board requested the following Advisory Board & Committee Resolution be
presented to Council at the regular meeting scheduled for December 20, 2018:
THAT the Council of the Corporation of the Municipality of Bayham promotes the
need for financial support from the public;
AND THAT donations received be used by Municipality of Bayham cemeteries
for decoration days or as desired throughout 2019;
AND that the Council of the Municipality of Bayham approve an annual insertion
in the two local newspapers listing Municipal Cemetery decoration days.
b) Cemetery signs for decoration days
The Treasurer will investigate and bring back and Advisory Board & Committee
resolution to the April, 2019 meeting.
c) Next Meeting & Adjournment
The next meeting will be in the spring of 2019. Exact date and time to be determined.
