Call to Order Chair Bev Hickey called the meeting to order at 7:01 pm Wednesday June 13th, 2018. 2. Disclosure of Pecuniary Interest None 3. Review of Items not on Agenda None 4. Announcements New display case acquired from the Gay Lea Dairy Museum is now at the Marine Museum. Bob Graham, his son, and Bev Hickey picked up the case at the Gay Lea Dairy Museum. Bev bought some more brackets to install more shelving into the case. Jennifer has created an exhibit on the Wheelhouse with the items donated by Captain Metz. Board members ask that Margaret Underhill arrange a thank you letter and photograph to be sent to the Gay Lea Museum. 5. Delegations None 6. Minutes (a) Motion to adopt minutes of May 9th, 2018 Museums Bayham meeting as presented. Moved by Chuck Buchanan, seconded Bob Graham, to accept minutes. All in Favour. 7. Correspondence 7.1 Receive for Information (a) Curator's Reports for May 2018 (attached)- Museums Bayham Board Minutes June 13/18 2 Curator's report was reviewed by Board Members. Motion to accept Curator's Report as information. Moved by Matt Schafer, seconded by Bob Graham. All in Favour. (b) Student Report for May 2018- (attached) Student report was reviewed by Board Members. Motion to accept Curator's Report as information. Moved by Chuck Buchanan, seconded by Bob Graham. All in Favour. 7.2 Action Required (a) Donation — "Skein Winder" received June 1, 2018 "Skein Winder" originally belonging to Frank Williams, the late husband of Gwen Williams of Port Burwell was donated to the Marine Museum. Gwen Williams is being moved to a nursing home, and donated the item. Frank had previously donated items in the museum's collection. Motion to accept Williams donation made by Matt Schafer, seconded by Albert White. All in Favour. Board members request that Margaret Underhill send a letter of thanks to the Williams Family. (b) Donation — "Various Captain Metz artifacts" received May 10th, 2018 Chuck Buchanan explains that the items donated by Captain Metz were donated to the Port Burwell Historical Society for use in the Wheelhouse restoration. Items such as light fixtures and port holes will be restored on the Wheelhouse. These items, along with the Wheelhouse will be donated by the Port Burwell Historical Society to the Marine Museum upon the project's completion. Jennifer has created a display at the Marine Museum to exhibit information on the Wheelhouse while the project is under way, to generate interest, and explain the project. 8. Unfinished Business Arising for the Minutes: (a) Vent Install at Lighthouse Ron Bradfield was unable to complete the vent replacement using his bucket lift. A different lift will be used soon to complete the task. 9. New Business (a) Children's Summer Program —Joint programming with the Port Burwell Library (poster attached) Programming between the Marine Museum and Port Burwell Library will be combined on Tuesdays throughout the summer. Jennifer has taken care of the programming logistics and Margaret has managed the administration needs required. Programs starts Tuesday, July 10th and will run for 6 weeks. Museums Bayham Board Minutes June 13/18 3 (b) Museums Bayham Advisory Committee-discussion of structure under current model In a staff report to a new elected municipal council the advisory boards and committees must share their roles and purposes. Margaret Underhill asks if there is a need to change the structure to the Museums Bayham Board. She reminds the members that the terms of reference by-law must at least be restructured to focus on the Marine Museum, as the Edison Museum is still included in the polices. Matt Schaffer shares his concern with changing the role of the advisory committee when the role of the curator has not been made definitively permanent. The Joint Museums Bayham Committee, implemented after the 1998 amalgamation in January 2006 was when there was no curator and a need for governance. There would be no curator now without the Board encouraging council for more consistent management. Ally Shelly agrees that dissolving the Board is too soon as these volunteers have still been required for a number of tasks for the museum. Albert White explains that boards generally help control collection growth and ensure that the curator follows the mandate. The consensus is that the members do not see a reason to change the structure, and role of the Board the present time. Lynda Millard asks if it is necessary for the Bayham Historical Society (BHS) to be involved, there may be a lack of relevance as the committee no longer deals with the Edison collection. It is suggested that the BHS is still welcome and the members of the Museums Bayham Board can still serve as museum partners providing advice, partnerships and events, operating similarly to E.O.N association of curators and directors. Ultimately, it is the decision of the Bayham Historical Society whether or not to stay involved, and elect a representative. 10. Finances (Budget) (a) Operating Budget 2019/2020 (b) Capital Budget 2018/2019 Presented is the 2019/2020 Budget and "year to date" to the end of May 2018. Margaret Underhill shares that there is a 3% or 5% increase in portions of the budget. Insurance, salaries and utilities will always see an increase. The budget status-quo has stayed similar overall. No overall increase in the budget. In 2019 it is expected to need to replace the HVAC, and furnace in the Marine Museum, this replacement is grant dependant. Projected for 2022 are improvements to the museum washroom. Motion to accept the Operating and Capital budgets as presented moved by Matt Schafer, seconded by Chuck Buchanan. All in Favour. 11. Other Business Events: (a) Bev Hickey will attend the Co-opalooza event at the Gay Lea Dairy Heritage event June 23. Bev will also assist the Elgin Historical Society Strawberry Social event at the Lighthouse June 27. Museums Bayham Board Minutes June 13/18 4 (b)The Port Burwell Historical Society is assisting with the Canada events in Port Burwell. Parade starts at 11:30am, Harvard airplanes will fly by at 12;00 pm. Band and BBQ to follow. (c) On August 3rd the Great Lakes Waterfront Trail Adventure, cycling tour and on August 18tH, the 3 Port Tour will stop in Port Burwell. Details to follow. (d) BHS is hosting a Mystery Cruise night July 21, with vendors, a rally car tour and a BBQ supper. Tickets are $20.00 per person, pre-registration preferred. (e) Chuck Buchanan shares that E.O.N has confirmed its election of officers. Mike Baker is the new chair. A new regional museum map and guide is being made to replace the one made in 2010. The new map will include some London locations. (f) Lynda Millard shares that the BHS annual Edison dinner will be held November 10tH 2018. Celebrating the 30th year of the Edison Museum.
