Call to Order Vice Chair Chuck Buchanan called the meeting to order at 7:00 pm Wednesday April 1111 2018. 2. Disclosure of Pecuniary Interest None 3. Review of Items not on Agenda None 4. Announcements None 5. Delegations None 6. Minutes (a) Motion to adopt minutes of January 10th, 2018 Museums Bayham meeting as presented. Moved by Albert White, seconded Jeff Robinson, to accept minutes. All in Favour. Museums Bayham Board Minutes April 11/18 2 7. Correspondence 7.1 Receive for Information (a) Curator's Reports- January, February, and March 2018 (attached) Curator's report was reviewed by Board Members. Jeff Robinson inquired to the location of the Marine Museum artifact collection binders Lynda Millard mentioned. Margret Underhill says they have not been located, Jennifer Beauchamp is first establishing an inventory while advancing to identify items in the collection. Motion to accept Curator's Report as information. Moved by Matt Schafer, seconded by Ally Shelly. All in Favour. 7.2 Action Required None 8. Unfinished Business Arising for the Minutes: (a) Lighthouse Siding Repair — Liquid Vinyl Margaret Underhill is still in possession of the paint chip and photographs of the Lighthouse required for CHIC to complete the colour matching for the liquid vinyl siding. She has attempted to contact the company multiple times with no success. The package will be sent after contact is made, and the mailing address in confirmed. If this avenue of inquiry does not progress, alternate methods of reparation will be revisited. (b) Marine Museum — Eavestrough Maintenance — Staff Report CAO -23/18 A maintenance program for all facilities is being implemented by the municipality, this includes the Marine Museum. By the end of May, the eavestrough will see cleaning and the installation of gutter guards. The surrounding trees will be trimmed and removed as needed. Motion to receive as information moved by Albert White, seconded by Jeff Robinson. All in favour. Museums Bayham Board Minutes April 11/18 9. New Business (a) Elgin Historical Society: Request to hold a Strawberry Social at the Lighthouse The Elgin Historical Society (EHS) would like to hold a Strawberry Social Wednesday, June 27th from 7:00 to 9:00 pm at the Lighthouse. The parking lot and washrooms at the Marine Museum will be made available, a table will be provided at the Lighthouse to host the approximately 20 EHS members. The EHS will arrange a backup location at the Trinity Church in case of inclement weather. This event will be held after student hours and will require volunteers. Volunteers will be confirmed at the May meeting. Motion to accept offer to use facilities and make welcome the use of Marine Museum and Light House as location for the EHS Strawberry Social moved by Jeff Robinson, seconded by Matt Schafer. All in Favour. (b) Co-opalooza Event: at the Gay Lea Dairy Museum — Invitation to set up a display This event has been opened for E.O.N. members participation. The event will be held June 23rd from 11:00 a.m. to 4:00 p.m. and will require volunteers to host an information display for the Marine Museum and Lighthouse. Albert White suggests that the event should have brochures and the ship models at least. Confirmation of volunteers will be determined at the May meeting. Motion to confirm participation moved by Matt Schafer, seconded by Albert White. All in Favour. (c) Museum and Lighthouse Summer Students: Opening & Hiring Update (M. Underhill) The student job postings had been advertised with the closing date of the applications being March 2911, 2018. Four resumes were received for the three positions available. While conducting and arranging the interviews, one of the candidates withdrew their application. Before losing the opportunity to fill all three positions Margaret Underhill confirmed the hiring of the three remaining individuals. The students hired for the 2018 season are Brian Neufeld a returning student from last year, Hannah Mantel a history student at University of Ottawa and Nathan Froese a student at Laurentian University studying law and history. Elgin County has rehired Courtney Neufeld to work at the Lighthouse. Interviews were conducted via telephone as the students are currently still in school. Students will begin orientation and training May 15 and 16th. The Marine Museum and Lighthouse will open for the season May 17th, 2018. Museums Bayham Board Minutes April 11/18 4 (d) E.O.N Update: March 1, 2018 Annual Meeting- C. Buchanan Chuck Buchanan attended what was supposed to be E.O.N's annual meeting, but the group did not have quorum. Quorum was not met due to the membership payment requirements. Mike Baker has moved to the position of chair and Chuck will remain treasurer. A call for vice chair and treasurer was put forward, but there were no new volunteers. No other business was accomplished due to lack of quorum. Scott Gilles informed the members that the Museum School will be closing and incorporated into the Ingersoll Cheese and Agricultural Museum. 10. Finances (Budget) None 11.
