Joint Cemetery Board Meeting Minutes
Bayham Municipal Office, Trackless Lounge

October 17, 2017 at 7:00 p.m.
Present were: Roger James, Marlene Carter, Ralph Carter, Jim Tait, John Scott,
Lynda Millard, Daphne Dickhout, Joe Dickhout, Perry Grant, George Beard Jr., Vera
Dickhout, Ben Sawatzky, Bob Gregson, Treasurer Lorne James and Deputy Clerk

1. Call to Order & Appointment of Chairman
The meeting was called to order at 7:00 p.m. Jim Tait was appointed Chairman.
2. Disclosure of Pecuniary Interest
No disclosures of pecuniary interest were declared.
3. Review of Items Not on the Agenda
None.
4. Announcements
None.

6. Minutes of meeting held March 7, 2017 for approval

THAT the minutes of the Joint Cemetery Board Meeting held March 7, 2017 be
approved as read.

7. Correspondence
7.1 For Information Only
None.
7.2 Action Required
a) 2018 Maintenance
Discussion of potential winter wind damage and requirements for limb
cutting/trimming. Explanation given regarding reason only Cemetery
Board members are covered by insurance to conduct work in the
cemeteries.
Members were requested to conduct walk through of cemeteries fall
and early spring to notify Treasurer of damage from wind or damage to
stones.
The need to spray for poison ivy was discussed. Treasurer to obtain
information regarding spraying and report back to Boards
b) 2017 Spreadsheet- Interest Calculations
Care and Maintenance Spreadsheet was discussed and Care &
Maintenance Interest cheques were distributed to Board
Secretary/Treasurer. Treasurer requested that cheques be
deposited prior to year end.
c) Review and Discussion of annual reporting requirements
Annual reporting requirements were reviewed and copy of required
forms provided to Secretary/Treasurer of each Board.
d) 2017 Invoices
Treasurer provided year to date number of grass cuts. Upon
completion of final cut, invoice will be emailed directely-expect to be
completed by the end of the first week of November.

9 Finances (budget)
Treasurer provided 2018 Capital and Operating Budget updates.
10 Other Business
Discussion was held regarding surveys for Calton, Richmond and Smuck, driveway for
Calton and possible fence replacement for Smuck.

March 6, 2018 at 7:00 p.m.
