Margaret Underhill attended their staff meeting; a steady increase in admissions and
great success over the Civic holiday long weekend was reported.
Motion to accept Student's Report as information. Moved by Chuck Buchanan,

8. Unfinished Business
(a) 3 Port Tour August 19, 2017- any additional arrangements to be made
At this point no additional arrangements have been requested by the group. All 3 summer
students will be scheduled August 19, 2017 to manage the Marine Museum and Lighthouse.
(b) Canada 150th Celebrations Even Railway City Big Top September 10/17- call for
Volunteers
Volunteers are still required for the Railway City Big Top event.
Ally Shelly has volunteered for 12-3
Chuck Buchanan is unable to confirm at the present time.
A request for more volunteers will be circulated closer to the September 10th asking for
participation in this event.
(c) Doors Open East Elgin September 16,2017 Museum & Lighthouse-Call for Volunteers
Bev Hickey has confirmed that he will be at the Marine Museum for Doors Open Elgin
September 16, 2017.
A call for volunteers will be requested closer to the date, and confirmed at the September
13th meeting.
9. New Business
(a) Lighthouse-Window washing completed and Liquid Vinyl Siding purchase
(i)Window Washing
Complaints had been made to the summer students, about the windows at the Lighthouse
being dirty, and difficult to see through. Margaret emailed 5 companies for price quotes to
clean the windows.
Bradcranex was the most receptive company, and completed the job quickly.
The job was completed with billing for approximately $460.00 for 6 hours of labour.
The possibility of cleaning the windows annually in the spring will be explored.
(ii) Vinyl Siding
Ron Bradfield had emailed an American company that offered to pay for materials; a 5
gallon pail of paint ($594.00 U.S), leaving the cost of shipping ($201.52) plus applicable
taxes for the Board to cover.
Margaret has made contact with a company in British Columbia called Liquid Vinyl System
(CHIC Liquid Vinyl) that is interested in discussing a price deal for services. The company is
interested in using the opportunity as a marketing tool, which would also give exposure to
the Lighthouse.
A proposal of a long term relationship with mutual benefits was also suggested, this
company is interested in sending a crew, and recording the work to use for marketing in the
future.
The B.C. company can also colour match, if sent a piece of the siding.
It was decided that before a decision is made, the Board will wait to see what price CHIC
has to offer. Any further decisions will be made at the September 13th, 2017 meeting.
(b) Pest Control spraying-winged ants
Courtney at the Lighthouse reported large numbers of winged ants, bothering visitors.
Bev Hickey contacted Lori Wilson and the entire Lighthouse was sprayed with insecticide
from top to bottom after hours Monday July 17th. No more reports of ants at this point. An
invoice for services has yet to be received.

cost list to be provided at the meeting (item on agenda at the request of Member R.
Bradfield
Ron Bradfield has purchased a number of artifacts from M. Verbrugge's Marine Collection,
which he is willing to sell to the Marine Museum, if interested. Jennifer Beauchamp is in the
process of reviewing the items. It was discussed whether the items are relevant to the
Museum's collections policy, and if there is space to store items.
As there is no price list included with each item, a motion was made to defer discussion to
next meeting with Ron Bradfield present.
Motion to discuss at next meeting made by Bob Graham, seconded by Jeff Robinson.

10. Finances (Budget)
(a) Budget Report Fiscal Year to date ending August 2, 2017
(b) Museums Budget 2018-2019
Museums Budget for 2017 and proposed Budget for 2018-19 was reviewed and discussed.
Margaret explains that there were certain expenses in regards to the Edison property that
will be reallocated to different accounts which will cause some adjustments to account
balances by the years end.
There are certain services in need of consideration for the next year's budgets that will
reduce the amounts in the Building and Grounds Maintenance accounts considerably.
Albert White suggests that the maple trees on the east side of the Museum be removed;
they are filling the eaves troughs and affecting the neighboring properties. It is suggested
that trees be taken care of in spring 2018.
Chuck Buchannan suggests looking into the issue that is causing the alarm to go off. Albert
White suggests checking the rubber stoppers on the door. Stoppers may have
disintegrated, leaving space for the door to move when closed.
Margaret Underhill also informs the Board that based on asset management and the
projected life span the HVAC system it is due to be replaced in 2019.
Ron Bradfield had previously proposed power washing the Lighthouse, but with concerns
regarding the vinyl siding being blown off, it was agreed that it would not be practical.
Budget was also created with the anticipating Council renewing the Curators contract.
Proposed numbers in Staffing for 2018 and 2019 have been included based on potential
contract renewals, and receiving grants.
Motion to accept the Budget Report Fiscal Year to date ending August 2, 2017
and proposed Museums Budget 2018-2019 moved by Albert White, seconded by Chuck
Buchanan. All in Favour.
11. Other Business
(a) Advisory Board & Committee Resolution re: Great Lakes Waterfront Cycling
Group August 09 ,2017- Council's correspondence in response to July 20, 2017
Board Resolution (by email vote)
An Advisory Board & Committee Resolution was made via email vote that the Great Lakes
Waterfront Cycling Group be granted free admission, with donations greatly appreciated.
Free admission was granted to all visitors on August 9th, 2017 so museum and lighthouse
staff did not need to distinguish between cyclists and other visitors. Margaret Underhill
reports that the Museum and Light house was very busy with cyclists from about 9:30 to
11:30 am, giving both sites good exposure.

Curator's Report August 2017
Exhibits and Events
BeachFest was held the long weekend and the selfie booth was revived for this.The borrowed items have been
returned to the Fish Market,who kindly lent us some fisherman gear.
The car ramble was held August 12th and 15 Porsches and 28 participants made their way from the two museums
in Ingersoll to Port Burwell,with stops at Leaping Deer Bakery,Oxford Honey, Coyle's General Store, and the
Tillsonburg Airport. It was there that the group had lunch at the Harvards' hangar and spent time chatting with
their volunteers and took many photos. As arranged,joining us for lunch was Margaret Underhill and her
husband.They met the event co-host and we all chatted over sandwiches,salads,and cookies.The event
continued with a brief stop at Sundown Farmers' Market,then headed through Tillsonburg past Annandale Historic
Site,and on to Port Burwell.The group filled the parking lot and dispersed, many going for ice cream.The museum
and lighthouse were visited by most participants, but about 1/3 paid admission to enter and/or climb. At this
point, most of the participants had spoken to me about their delight with the route thus far.They found the stops
very interesting and the roads very good and scenic.At 3:30 the group headed back north along the#55 to Gunn's
Hill Cheese,the final stop before dispersing to the#401,#403, or into Woodstock for supper.The treasure map
activity was hotly contested,with an eventual winner scoring 15/15.They will receive a restaurant gift card.All in
all,the amount of work for this event was great, but will pay off as this was so well received that I expect it will be
offered again next year.The amount of time spent on this event was mainly born by the originating museum.
I have researched and installed a brief description of the red light return policy used in North America for guiding
watercraft safely back into port.Chuck had suggested it as an addition to the lights display to further add to the
understanding of the role lights and lanterns play in marine use.
Collections
The accession list has been moving along.The students continue to adapt to the myriad of issues they are finding.
They will leave me a comprehensive assortment of lists, piles, and comments to sort out once I return in October.
Staff
We had our third staff meeting to plan and assess activities. Brian prepared the agenda and led the meeting.

PORT BURWELL MARINE MUSEUM & LIGHTHOUSE
MONTHLY REPORT: August and September 2017
Projects Completed and On-the-Go:
1. Fixing the cataloguing, converting cataloguing electronically, and accessioning items
that have not already been accessioned (In Progress)
- We have continued to convert our items from paper to excel, and finding items that
haven't been accessioned yet. We are currently in Zone 1 [storage area], and the
paper cards have been organized to allow for easier cross referencing and locating
artifacts that are not in the list.
2. Reconstructing the Mix-N-Match Game (Completed)
- We are continuing to work on the children's Mix-N-Match game, having found an
appealing assortment of plants that will be painted directly onto the background rather
than use paper that can be removed and damaged. The sticky Velcro has also been
purchase and is ready to be installed once the background is completed.
3. Making Signage for Various Event Days (Completed)
- There are a number of special events in August that we are preparing or have
completed signs for, such as Beachfest, the Great Lake Waterfront Bike Tour and
Porsche Car Rally. The Beachfest, Great Lake Waterfront Bike Tour, and the Porsche
Car Rally signs are all completed.

Hi Margaret,
It was good speaking to you on the phone today.
As discussed,we would be happy to supply a pail of our CHIC Liquid Vinyl to you folks to do the touch-ups of
the Bayham Lighthouse. We will supply the material free of charge and there will be no tax or shipping
Though the exterior siding is white, it will have discoloured a bit over time so to keep the touch-ups from being
really obvious I think it would be a good idea to send us a physical sample of the material that's on there so we
can slightly adjust the colour of the material we send you. Collecting a couple samples would likely be best
done when the washing is done.
I think it would be a really good idea to email me some photos too so that I can better help to let you know how
to fix the areas that need fixing. Also,regarding the washing I suggest spraying the wall with a 1/4 household
bleach solution then a careful powerwash.
