Bev Hickey met Darya Rousseau at EdisonFest, and asked if she would attend the June

7.2 Action Required
a) 150th Celebrations Event Railway City Big Top
Letter has been received from Karen Vecchio and Jeff Yurek's offices inviting
organizations to attend 150th Celebrations Event at the Railway City Big Top in St. Thomas.
Various non-profit groups are invited to participate. Booths with table top displays, providing
information on their organizations are being arranged confirmation must be confirmed by August
4th, 2017. The event will be held Sunday, September 10th from 12:00 —6 p.m.
Bev has volunteered to attend the table display for that day.
Motion made to participate in event moved by Matt Schafer, seconded by Bob Graham.

8. Unfinished Business
(a) Summer 2017 Student's Activities and Training
The summer students attended the E.O.N training on June 5th. The training went on from 10:00
a.m. to 3 p.m. At the training day students learned about customer service, tourist attractions
across the county, exhibits, and accessioning.
The students are now working on preparing Canada Day Activities; they have also assisted in
the completion of the transportation exhibit, and are continuously working on cataloguing, and
accessioning artifacts, which will hopefully be completed by the end of summer.
(b) Canada 150 Weathervane-Vienna Memorial Park Pavilion
Vienna's weathervane was unveiled at Edison Fest, all politicians attended the ceremonies.
Port Burwell's weathervane will be unveiled on Canada Day at the gazebo, Straffordville's at
Watermelon Fest. Corinth's event is yet to be determined.
(c) Canada Day Events-site plan location for tent set-up in museum parking lot
The Port Burwell Canada Day Parade is in need of parade marshal. Chuck Buchanan has
asked Bev Hickey if he would fill the position, and organize the parade. Bev accepts, and Bob
Graham volunteers to assist. They will be at the Port Burwell Legion at 11:00 a.m. July 1St to
help organize the parade.

The other events being held on Canada Day are going forward as planned. The parking lot at
the Marine Museum will hold the band Faded Denim at the south end, a tent for John Hurley will
be close to the museum, near the road.
At the drive way entrance on Pitt Street, the Stars of our Town videos will play on a T.V. and the
students will set up their activity centre in the shade on the lawn.
The cake will be served at the gazebo, where the band Not Ed's Garage will play later in the
afternoon. The BBQ will be near the Library and the Harvard's will fly by at noon.
(d) Architectural Conservancy of Ontario Heritage Award —Aylmer Express article May
24/17
Chuck and Dorothy Buchanan, and Bev Hickey attended the award presentation in St. Thomas.
A certificate and plaque was presented. The plaque will be on display at the Lighthouse and the
certificate will go the Marine Museum. An article about the achievement was featured in the
Aylmer Express.
There may be other buildings in the municipality that meet the criteria for this award. In future
years these buildings should be considered for nomination.
(e) Lighthouse re-painting/repair project- evaluation and time line for completion
After the Canada Day events, volunteers will be available to make repairs to the Lighthouse.
Chuck, Ron, and Albert will assess the repair needs, and proceed with the best option. Albert
has a man lift, and license to operate.
9. New Business
(a) Edison Fest June 2-4 Update from BHS
Edison Fest had a very successful weekend. There was a small turnout for the band that
played the Friday night. Saturday hosted approximately 500 people, and Sunday, 300
people.
This year the entrance was fenced off in order to keep track of the attendance numbers.
(b) London Boat Show Feb 23-25, 2018 Registration (form attached)
The Board held a discussion on whether or not participation in the 2018 London Boat Show is
valuable. With a not for profit discount the price for last year's show was $303.69, and has
increased slightly with next year's application. A decision was made to refrain from involvement
next year, and to consider different conventions to participate in.
Motion to not attend the 2018 London Boat Show was moved by Matt Schafer, seconded by
Bob Graham. All in Favour.
(c) Canada 150 "Transportation" Display (attached photos)
Attached photos show the exhibit on Transportation at the Marine Museum. Photos will be sent
to Elgin County to show involvement in the cross county exhibits.
The Colonel Talbot map has been hung at the welcome exhibit at the museum entrance as a
centre piece.

d) 3 Port Tour- Saturday, August 19, 2017 cycling tour
Brett Hueston of the Aylmer Express arranges this bicycle tour every year. No requests have
been made, but higher traffic volume may be expected. Staff at the museum will be made aware
of the cyclists.
e) Update on Edison Activities
Lynda Millard announces that the Edison "Transportation" Exhibit at the Bayham Family Table is
finished, and is pleased to announce that the application for the Community Exhibits program at
the Ontario Legislature has been accepted. An exhibit expanding on the Plank Road will be
created for the display case in Toronto. An installation date has yet to be determined.
f) Marine Museum Ontario Legislature Display
Margaret Underhill has received the removal date for the Marine Museum's Legislature Display.
Artifacts are to be removed by July 5th.
g) Message from Courtney at the Lighthouse
The student at the Lighthouse has asked if a blind could be obtained for the window. The sun
shining through the window is quite hot, and has caused a sun burn. The window measures
48 cmHX22cmW.
Bob Graham may have some blinds that would fit the window.
Motion made to purchase or obtain through donation, blinds for the window. Moved by Matt
Schafer, seconded by Bob Graham. All in Favour.
h) Doors Open September 16th, 2017
Doors Open for Aylmer, Bayham and East Elgin will be held on Saturday, September 16th, 2017.
Last year saw 70-80 people attended the Marine Museum, and Lighthouse.
Bev has volunteered for certain; more volunteers will need to be arranged at a later date.
Motion to participate in Doors Open 2017 moved by Lynda Millard, seconded by Chuck
Buchanan. All in Favour.
10. Finances (Budget)
Information for the first six months of the year will be ready for the next meeting.
11. Other Business
Discussion was held on the need to hold a July meeting. It was decided that a July meeting is
not necessary, but a meeting in August is needed to arrange the volunteers for the events in the
fall.

Exhibits and Events
The EON Student Workshop was held at Straffordville with 12 students and 6 presenters.As organizer I welcomed
everyone and guided the activities along, including presenting the exhibits workshop twice. I had help from other
EON members, including Adam Pollard from the Woodstock Museum, Hilary Fagan, newly hired at the Elgin
County Railway Museum,and Scott Gillies from the Ingersoll Cheese&Agricultural Museum. Our three students
attended and learned about museum skills,serving the public,and tourism in the area.
The lantern exhibit has been finished. It will help the visitor understand port and starboard,and the functioning of
lights, both on ships and on land.
I researched some on-line opportunities at OMA Canada 150 and VirtualMuseum.ca., both online exhibits. The
first is to commemorate Canada's 150 with Ontario museum curators being invited to submit a photo of an artifact
that has special meaning and significance to them, along with a write-up following the OMA guidelines. I selected
the bull's eye lens and made the submission. It is on the OMA website.The second opportunity is more complex
and involves writing up a proposal to be selected to develop an on-line exhibit comprised of 30—60 photographs
and a descriptive text.There is a grant component to this to pay for the time to develop it. I am still looking into it.
The Canada Day"Selfie Booth"was a moderate success.Several days before,the students energetically posed in
the fisherman's gear and with the artifact props so I could provide a photograph for the Bayham website to
advertise for Canada Day. We would like to reprise it for Beach Days.
Margaret and I prepared a historical message for the Mayor to be placed in a local publication.
I meet with the other Elgin county curators to discuss the passport and the draw on Labour Day. It was
determined that each site collect ballots submitted and provide a site prize.
Children's activities at the museum last summer were only moderately successful so to bring some life into them it
was decided we needed to think outside the box. Literally. I invited Michelle Goodridge, Liason Librarian of Game
Design and Development at Wilfred Laurier University, one of my former summer students,to help us plan a
children's activity based on a locked box. It is the inverse to the popular"Break-out Room".A series of clues must
be solved in order to open the lock.Teamwork and problem solving are the"key"to success. Our afternoon with
Michelle was very instructional and we felt the'breakout'game would be a good change from the usual craft and
colouring activity.She gave us lots of ideas on how to get started and a website to find existing games.All three
students worked on developing the first session,which will commence in July.
Collections
The accession list is organized and ready to work on but it is not a project that stimulates the students so we all
realize that it will require some prodding to work on.

We had our first staff meeting to plan and assess activities. Emily prepared the agenda and led the meeting.

Exhibits and Events

The Community Exhibit Hall at the Ontario Legislature building was taken down July 5th.Visitation during that time
was estimated to be 10,000,thanks to Doors Open and Canada Day. I have made a Scavenger Hunt for children to
find the artifacts that have returned.

and a descriptive text, along with extensive computer interactive features. I have looked at a current exhibit and
this work is beyond my scope of computer skills. I would need assistance for this and despite there being a grant
component to pay for the time and expertise to develop it,this may not be the best used of my time at this point.
The first locked box mystery was held July 6th. It was well attended and deemed to be great fun,with several
children vowing to return the next week for the next game. Unfortunately the subsequent weeks were not well
attended and the venture can be considered a failure. Either the advertising was insufficient,or the timing was
inconvenient for participation. Discussions with Margaret about the future of hosting children's activities during
the summer have resulted in a new idea.We will contact the library and see if they are interested in a joint
venture,their reading time to lead into an activity time at the museum.There may be appeal for the parents in
having a longer time commitment,especially with two different activities, and so close to each other.
I have completed the revamped Ashtabula exhibit text. It now discusses the economic result of the sinking of the
ship, in addition to the history of how the ship and its function came to influence the development of Port Burwell.
During the installation of the text,the laminator expired and has been replaced by a new model that works better.
I have cleaned out and redid the long cabinet in the war exhibit space.The many hats were brushed and those
with cap badges researched,with the expectation that some new signage will be prepared.
The preparations for the car ramble continue,with the bulk of the work being done on Museum School time,
including the trip along the proposed route with the club co-host. He felt that Port Burwell would be best as an ice-
cream stop, before heading back up a scenic route to the#401.The restaurants in town did not impress him with
their decor and he also wanted a fun way back to'civilization'. I selected#55 through Elgin and all I can say is he
enjoyed the drive immensely.So watch out the afternoon of Aug. 12th for Porsches speeding along the#55!
Collections
The accession list has been moving along. However,there are considerable issues with the quality of work that has
been done on this list in the past.There are many accession cards that had not been entered into the database,
and that has required a period of time to input them. Many of the descriptions of artifacts are rudimentary,
leading to confusion as to what has exactly been accessioned.When the space for description reads merely"hat",
that is unacceptable.The list will have to be checked for this sort of inaccuracy.

MONTHLY REPORT: June 2017
Projects Completed and On-the-Go:
1. Canada Day prep (Completed)
- As a group, we have been preparing the museum inside and out, thinking of items to
put in the Selfie Booth, making signs for promotion, and thinking of games for
Canada Day
2. Paint front door(Completed)
- It was decided that the door could use some cheering up, so we have painted the door
red to make it more bright and welcoming
3. Fixing the cataloguing, converting cataloguing electronically, and accessioning items
that have not already been accessioned (In Progress)
- Along with our curator, we have been working on converting some of our items from
paper to excel, and finding items that haven't been accessioned yet. To make it more
organized, we have divided the museum into zones, and are working through one
zone at a time
4. Reconstructing the Mix-N-Match Game (In Progress)
- The background of the mix-n-match game was looking a bit dated, so we have been
working on another background and rather than matching the words to the animals,
we will be switching it so that kids will match animals to the words.
5. Preparation for Lockbox Activities (In Progress)
- We have been coming up with clues, gathering materials, doing advertising around
town and in schools, and making props for the lockbox activities.

We have all of our projects started at the moment.

- At the moment, our only slight concern is how many children are going to show up
on Thursday for the Children's Program.

MONTHLY REPORT: July 2017
Projects Completed and On-the-Go:
1. Lockbox Activity Prep (Completed)
- As a group, we have been preparing for the lockbox activity by doing research on
how to design a lockbox activity [with the help of Jennifer's friend]; coming up with
themes; clues that correspond to these different themes and props, as well as thinking
of prizes for the winners
2. Fixing the cataloguing, converting cataloguing electronically, and accessioning items
that have not already been accessioned (In Progress)
- We have continued to convert our items from paper to excel, and finding items that
haven't been accessioned yet. We are currently in Zone 1 [storage area],though may
have to go back for items we missed.
3. Reconstructing the Mix-N-Match Game (In Progress)
- We are continuing to work on the children's Mix-N-Match game, having found an
appealing assortment of plants that will be painted directly onto the background rather
than use paper that can be removed and damaged.
4. Making Signage for Various Event Days Coming Up (In Progress)
- There are a number of special events coming up in August that we are preparing signs
for, such as Beachfest, the Great Lake Waterfront Bike Tour and Porsche Car Rally.

the Council of the Municipality of Bayham at the regular Council meeting July 20, 2017:
THAT the Council of the Municipality of Bayham supports Museums Bayham Board
recommendation to grant the "Great Lake Waterfront Trail Adventures Cycling
Participants" free admission to climb the Port Burwell Historic Lighthouse on August 9,
2017 noting that donations in-lieu are greatly appreciated.

Advisory Board & Committee Resolution from Museums Bayham was considered at the regular
meeting of the Council of the Municipality of Bayham held July 20, 2017 and the following resolution
was passed:
THAT the Council of the Municipality of Bayham grants free admission to climb the Port
Burwell Historic Lighthouse on August 9, 2017 noting that donations in-lieu are greatly
appreciated.
Council decided to grant free admission to all patrons for the day to prevent confusion for staff.
