Call to Order Chair Bev Hickey called the meeting to order at 7:05 Wednesday June 14th, 2017. 2. Disclosure of Pecuniary Interest None 3. Review of Items not on Agenda Three new items to be added to the Agenda: 1. 9(h)- Doors Open East Elgin 2017 2. 9 (g)- Lighthouse Window Blind — correspondence from Courtney (Student) 3. 7.2 (a)- Canada 150 Vecchio/Yurek Invitation 4. Announcements Add to New Business. 5. Delegations 7:05 pm Darya Rousseau, President- Bayham Historical Society (BHS) re: Edison Museum Bev Hickey met Darya Rousseau at EdisonFest, and asked if she would attend the June Museums Bayham Meeting. Darya did not attend. 6. Minutes (a) Motion to adopt minutes of May 10th, 2017 Museums Bayham meeting as presented. Moved by Chuck Buchanan, seconded Bob Graham, to accept minutes. All in Favour. 7. Correspondence 7.1 Receive for Information (a) Museum Curator's Monthly Report May 2017 (attached) Curator's report was reviewed by Board Members. June 14, 2017 Museums Bayham Board Minutes 2 Motion to accept Curator's Report as information. Moved by Matt Schafer, seconded by Chuck Buchanan. All in Favour. (b) Port Burwell Marine Museum & Lighthouse Student's Monthly Report May 2017 (Attached) Students' Report was reviewed by Board Members. Motion to accept Students'Report as information. Moved by Chuck Buchanan, seconded by Matt Schafer. All in Favour. 7.2 Action Required a) 150th Celebrations Event Railway City Big Top Letter has been received from Karen Vecchio and Jeff Yurek's offices inviting organizations to attend 150th Celebrations Event at the Railway City Big Top in St. Thomas. Various non-profit groups are invited to participate. Booths with table top displays, providing information on their organizations are being arranged confirmation must be confirmed by August 4th, 2017. The event will be held Sunday, September 10th from 12:00—6 p.m. Bev has volunteered to attend the table display for that day. Motion made to participate in event moved by Matt Schafer, seconded by Bob Graham. All in Favour. 8. Unfinished Business (a) Summer 2017 Student's Activities and Training The summer students attended the E.O.N training on June 5th. The training went on from 10:00 a.m. to 3 p.m. At the training day students learned about customer service, tourist attractions across the county, exhibits, and accessioning. The students are now working on preparing Canada Day Activities; they have also assisted in the completion of the transportation exhibit, and are continuously working on cataloguing, and accessioning artifacts, which will hopefully be completed by the end of summer. (b) Canada 150 Weathervane-Vienna Memorial Park Pavilion Vienna's weathervane was unveiled at Edison Fest, all politicians attended the ceremonies. Port Burwell's weathervane will be unveiled on Canada Day at the gazebo, Straffordville's at Watermelon Fest. Corinth's event is yet to be determined. (c) Canada Day Events- site plan location for tent set-up in museum parking lot The Port Burwell Canada Day Parade is in need of parade marshal. Chuck Buchanan has asked Bev Hickey if he would fill the position, and organize the parade. Bev accepts, and Bob Graham volunteers to assist. They will be at the Port Burwell Legion at 11:00 a.m. July 1st to help organize the parade. June 14, 2017 Museums Bayham Board Minutes 3 The other events being held on Canada Day are going forward as planned. The parking lot at the Marine Museum will hold the band Faded Denim at the south end, a tent for John Hurley will be close to the museum, near the road. At the drive way entrance on Pitt Street, the Stars of our Town videos will play on a T.V. and the students will set up their activity centre in the shade on the lawn. The cake will be served at the gazebo, where the band Not Ed's Garage will play later in the afternoon. The BBQ will be near the Library and the Harvard's will fly by at noon. (d) Architectural Conservancy of Ontario Heritage Award —Aylmer Express article May 24/17 Chuck and Dorothy Buchanan, and Bev Hickey attended the award presentation in St. Thomas. A certificate and plaque was presented. The plaque will be on display at the Lighthouse and the certificate will go the Marine Museum. An article about the achievement was featured in the Aylmer Express. There may be other buildings in the municipality that meet the criteria for this award. In future years these buildings should be considered for nomination. (e) Lighthouse re-painting/repair project- evaluation and time line for completion After the Canada Day events, volunteers will be available to make repairs to the Lighthouse. Chuck, Ron, and Albert will assess the repair needs, and proceed with the best option. Albert has a man lift, and license to operate. 9. New Business (a) Edison Fest June 2-4 Update from BHS Edison Fest had a very successful weekend. There was a small turnout for the band that played the Friday night. Saturday hosted approximately 500 people, and Sunday, 300 people. This year the entrance was fenced off in order to keep track of the attendance numbers. (b) London Boat Show Feb 23-25, 2018 Registration (form attached) The Board held a discussion on whether or not participation in the 2018 London Boat Show is valuable. With a not for profit discount the price for last year's show was $303.69, and has increased slightly with next year's application. A decision was made to refrain from involvement next year, and to consider different conventions to participate in. Motion to not attend the 2018 London Boat Show was moved by Matt Schafer, seconded by Bob Graham. All in Favour. (c) Canada 150 "Transportation" Display (attached photos) Attached photos show the exhibit on Transportation at the Marine Museum. Photos will be sent to Elgin County to show involvement in the cross county exhibits. The Colonel Talbot map has been hung at the welcome exhibit at the museum entrance as a centre piece. June 14, 2017 Museums Bayham Board Minutes 4 d) 3 Port Tour- Saturday, August 19, 2017 cycling tour Brett Hueston of the Aylmer Express arranges this bicycle tour every year. No requests have been made, but higher traffic volume may be expected. Staff at the museum will be made aware of the cyclists. e) Update on Edison Activities Lynda Millard announces that the Edison "Transportation" Exhibit at the Bayham Family Table is finished, and is pleased to announce that the application for the Community Exhibits program at the Ontario Legislature has been accepted. An exhibit expanding on the Plank Road will be created for the display case in Toronto. An installation date has yet to be determined. f) Marine Museum Ontario Legislature Display Margaret Underhill has received the removal date for the Marine Museum's Legislature Display. Artifacts are to be removed by July 5th. g) Message from Courtney at the Lighthouse The student at the Lighthouse has asked if a blind could be obtained for the window. The sun shining through the window is quite hot, and has caused a sun burn. The window measures 48 cmHX22cmW. Bob Graham may have some blinds that would fit the window. Motion made to purchase or obtain through donation, blinds for the window. Moved by Matt Schafer, seconded by Bob Graham. All in Favour. h) Doors Open September 16th, 2017 Doors Open for Aylmer, Bayham and East Elgin will be held on Saturday, September 16th, 2017. Last year saw 70-80 people attended the Marine Museum, and Lighthouse. Bev has volunteered for certain; more volunteers will need to be arranged at a later date. Motion to participate in Doors Open 2017 moved by Lynda Millard, seconded by Chuck Buchanan. All in Favour. 10. Finances (Budget) Information for the first six months of the year will be ready for the next meeting. 11. Other Business Discussion was held on the need to hold a July meeting. It was decided that a July meeting is not necessary, but a meeting in August is needed to arrange the volunteers for the events in the fall. Motion made to hold no July meeting made by Matt Schafer, seconded by Bob Graham. All in Favour.
