Call to Order In Chair Bev Hickey's absence Vice Chair Chuck Buchanan called the meeting to order at 7:32 Wednesday March 8th, 2017. 2. Disclosure of Pecuniary Interest None 3. Review of Items not on Agenda None 4. Announcements Volunteer Awards Ceremony, March 23, 2017 East Elgin Community Complex The invitations have been mailed to each individual. 5. Delegations None 6. Minutes (a) Motion to adopt minutes of February 6th, 2016 Museums Bayham Meeting. Moved by Ron Bradfield, Seconded Ray Maddox to accept minutes. All in Favour. 7. Correspondence 7.1 Receive for Information (a) Museum Curator's Monthly Report February 2017 (J. Hunt-Beauchamp). Motion to accept Curator's Report as information Moved by Ray Maddox, seconded by Ron Bradfield. Museums Bayham Minutes March 8, 2017 2 7.2 Action Required (b) Bayham Historical Society (BHS) Resolution appointing new representative to Board An Advisory Board Committee Resolution was made to send to Council. Jeff Robinson will replace Ray Maddox, as the new representative for the Bayham Historical Society. Motion to accept Jeff Robinson as BHS representative; made by Ron Bradfield, seconded by Bob Graham. All in Favour 8. Unfinished Business a) Verbal Update- London Boat Show Chuck Buchanan and Ron Bradfield transported all items to the Agriplex and set up the booth. Chuck Buchanan, Ron Bradfield and Ally Shelly oversaw the booth over the weekend. Ron Bradfield returned the items to Port Burwell after the show on Sunday. The Boat Show was considered to be a success with 30,000 in attendance. The Saturday was very busy, there were many questions regarding the Marine Museum, marina and submarine. More volunteers will be needed for the event in the future. b) Verbal Update-Artifact Display at Ontario Legislature See Curators Report 7.1(a) Date for the installation is still pending. c) Verbal Update- Paint on the Lighthouse Margaret Underhill and Ron Bradfield have been unable to contact the manufacturer or installer. The numbers are out of service. At this time there is nothing to be done; in the spring ideas for repair will be explored. d) Verbal Update- Paint storage at the Museum The new steel cabinet has been delivered to the Marine Museum. The cabinet has been placed to section off area near the office, blocking the public's view of the back storage area. The furnace room has been cleaned, and all paint cans are stored inside of the cabinet. Museums Bayham Minutes March 8, 2017 3 e) Verbal Update- Edison Artifacts move Bob Graham provided an update regarding the Edison Artifacts. All artifacts are moved from the museum to the storage location in Tillsonburg. A display will remain at the Bayham's Family Table. Plans are being developed for moving forward with the plans for the Edison Museum. f) Verbal Update-Summer Students Job Posting (see attached Student Posting) Margaret Underhill provided an update regarding the student job postings. The job advertisements have been posted on the Bayham website, indeed.ca and the jobbank.ca with the application deadlines being March 31st, 2017. The jobs have also been circulated to the past summer students. The applications will be reviewed in staff, short listed and Board members will be contacted to assist in the interviewing process. The potential start date for the students is May 16th, 2017 prior to the Victoria Day long weekend. 9. New Business None 10. Finances (Budget) None 11. Other Business (a) Thanks to Ray Maddox On behalf of the Museums Bayham Board Chuck Buchanan would like to thank Ray Maddox for all of his years of service on the Board. His time was greatly appreciated. Ray Maddox has enjoyed his time on the Board and would be interested in returning if an opening should become available. (b) Cleaning of Artifacts at Marine Museum Ron Bradfield wonders if some of the metal artifacts at the Marine Museum might be polished. The cleaning will be left at the Curator's discretion for the protection the artifacts. Date: Ally Shelly, Secretary Bev Hickey, Chair 7 (0:) /97/7 Curator's Report March 2017 Exhibits and Events The exhibit for the Community Exhibits Program at the Legislative Assembly of Ontario was installed on March 24th by Margaret Underhill and I. Unfortunately MPP Jeff Yurek did not make an appearance, despite being invited. Set-up went well and photos were taken. Margaret prepared a nice article on the Bayham website with one photo. More are available if requested. The car trip event "Driving The Plank" is progressing very well.We have a club co-host now and he will take care of the administrative tasks such as the registration through PayPal, advertising, and other logistics. He is excited by the route and looks forward to driving along it with me once the weather is nice. The event is now on the club website and in their monthly magazine, of which he is the editor. The new municipal facilities of Bayham will be the location of the June 5th student orientation workshop organized and staffed by EON, the network of museums and galleries of Elgon,Oxford, and Norfolk counties.This educational opportunity allows the summer students to meet with each other, learn about each other's sites, and receive training in customer service, cataloguing, programming, putting together exhibits, and emergency response. Collections I have been organizing the storage area at the museum to clear out unneeded material and make space for artifacts coming from the display area. I have discovered boxes of uncatalogued artifacts, boxes of expired advertising, and artifacts improperly housed, so there is much to get in order.The reward for all this work is the discovery of an 1867 document issued by the Bank of North America in London Ontario to the business entitled 'Port Burwell Harbour Incorporated'. This exciting find has been conserved by Mary Gladwin,the retired archivist from the Oxford County Archives, scanned by Adam P1lard at the Woodstock Museum, (both at no cost, proving the worth of membership in EON)and framed in conservation quality materials. It will be part of the transportation exhibit I will be mounting for this summer, "Roads, Rails, and Water". Another find that will join this document is an 1877 Historical Atlas for Elgin County that has maps, line drawings and history of the county. This exhibit will be located where the fishing exhibit currently resides and will also be on the front welcoming wall.The fishing exhibit will be condensed and go to the back near the emergency door once the railway exhibit comes up to join the summer exhibit. Staff The student summer job postings are closed and I look forward to the students' arrival. I have been identifying tasks for them such as cleaning and cataloguing artifacts in boxes I've found in the depths of the furnace room, freshening up the museum, and overhauling the decor of the bathroom (painting).
