Call to Order Chair Bev Hickey called the meeting to order at 7:00 Wednesday November 8th, 2017. 2. Disclosure of Pecuniary Interest None 3. Review of Items not on Agenda Summary of Visitor Statistics 2017 added to 7.1 (b) 4. Announcements Bev, Chuck, Lynda and Jennifer Beauchamp attended the E.O.N meeting. 5. Delegations None 6. Minutes (a) Motion to adopt minutes of October 11th, 2017 Museums Bayham meeting as presented. Moved by Chuck Buchanan, seconded Bob Graham, to accept minutes. All in Favour. Museums Bayham Board Minutes Nov 8/17 4 c) The Bayham Historical Society Edison Dinner and Silent Auction will be held Saturday, November 11th, 2017. Social hour starts at 5:00 p.m., dinner at 6:00, the band Faded Denim will play after dinner until approximately 11:00 p.m. Tickets for the dinner are sold out, but entry by donation to the silent auction and dance will be accepted at 7:30 p.m. The Bayham Historical Society's Edison exhibit at Queen's Park will be removed from the Legislature building Wednesday, November 15th and set up at the Bayham Family Table for exhibit. d) Margaret Underhill asked Ron Bradfield if he knew who the past owners of the lot the Marine Museum is located on were, to confirm the changes in the variance on the lot. Ron reports that it was residential. Ron and Bonnie Bradfield lived there around 1960. The owner was Madora Bartlett. He believes the house was vacant and purchased by the town of Port Burwell, to eventually be demolished. The lot was vacant until it became the Marine Museum in 1988. 12) Motion to Adjourn Bev Hickey and Margaret Underhill will discuss the need to hold a December meeting. Ally Shelly, Secretary Bev Hickey, Chair Jar, /0/4 - Curator's Report November 2017 /0 ,2 Exhibits and Events The surveyor's chain borrowed from the Eva Brook Donley Museum in Simcoe for the transportation exhibit has been returned.A county theme for 2018 has not been announced. Collections The accession list has taken a turn.The issues the students encountered were the tip of the iceberg when it came to the state of the artifact database. Examination of those issues,coupled with ones that I found in early November have led me to meet with Gina from the Elgin County Archives to discuss how best to proceed with the accession list.With the agreement of Paul and Margaret, I began to reconcile every collection card with its entry in the database,and made numbering and spelling corrections. This is a time consuming task as there had been no database entries in the last 10 years.So as a result,we have about 500 cards for the artifacts that are in the database up to the year 2005.There is a stack of about 300 that have not been entered,and another stack, perhaps 200,that contains cards that have problems.The database has over 800 entries, so there is another mystery to solve—where are the other artifacts that are listed? Once the cards are all entered, I will be able to return to the updated list and reconcile each entry with the actual artifact to determine if there are artifacts in the museum that have no accession number and thus not listed. These problems with the cards have come about because over the years this important accessioning work has been done by many hands,and the cards show a great diversity in styles and skills. I am clarifying and filling in the gaps in the descriptive section of the cards,standardizing the numbering system and the key descriptive phrases that are used in the search mode,and eliminating duplicate numbers.Once that is done,the project for the students next year can be to photograph all the artifacts and add a hard copy to the cards and insert photograph files into the database.This should be a much more popular task than this year's proved to be. Staff The students have returned to their classes. . L4 7 / (a ) J�✓r /o//? Curator's Report December 2017 G7e Collections The work on the accession list continues. I have been able to process a number of cards but there are still many left to deal with. I am particularly challenged by the number of cards that show artifacts that I cannot find,and most of them I suspect are no longer in the museum. I need the help of long time museum volunteers to look at these cards and advise me as to whether they believe these artifacts are no longer in the collection, having been deaccessioned, loaned—officially or unofficially, damaged and discarded, mysteriously vanished,or if they are lurking somewhere I haven't looked. I am organizing smaller accessioning projects for the upcoming summer students to tackle. In addition to photographing the artifacts,there will be a project to organize and redo the pharmacy.As usual,the welcome wall will need a spring facelift. Staff Margaret and I have begun discussing the hiring of summer students and have been tweaking the job post to reflect the actual job requirements and duties.We are hoping that the new collections activities will appeal to the applicants. I have requested that a greater emphasis be placed on keeping the museum clean and I will be preparing a list of tasks and appropriate tools required.Sadly,there will be little high tech involved in this task to entice students to apply. I'm certain acquiring a Roomba is out of the question! Submit your nomination online Adults are recognized by the length of time they've volunteered with one organization, ranging from five to 65 years of continuous service. Youth (24 years old and under) are recognized for two or more years of continuous service. Who is eligible An organization can nominate up to nine volunteers, with a maximum of six adults. Your nominee must be: • a resident and volunteer in Ontario • an active member in an organization that has existed for at least five years You cannot nominate someone: • who has passed away • who has been paid for their volunteer work • who volunteered the services as part of their regular work or professional responsibilities Nomination deadline The deadline is January 25 each year. If the deadline falls on a weekend or holiday, you can submit your nomination before 5 p.m. the next business day. If your nomination is received after the deadline, it will be considered for next year's award. Selection process The Ministry of Citizenship and Immigration reviews all nominees and sends a letter to the organization to confirm their nomination has been accepted. Award presentation The awards are presented at ceremonies across Ontario from March to June. The recipients are given a stylized trillium service pin and a personalized certificate to acknowledge their years of service. Each recipient can bring one guest and their organization can invite two representatives. Previous recipients Search for past recipients of the Ontario Volunteer Service Award. Ontario Medal for Young Volunteers This medal recognizes the outstanding contributions of young volunteers in Ontario. Deadline:January 15 1. Selection process An independent advisory council appointed by the Premier reviews each nomination and selects the candidates.
