MINUTES
Bayham Municipal Office, Trackless Lounge

1. Call to Order
Chair Bev Hickey called the meeting to order at 7:00 Wednesday August 9th, 2017.

4. Announcements
Curator Jennifer Hunt-Beauchamp will be away on holidays from August 23- October 23
resuming the contract upon her return.

6. Minutes
(a) Motion to adopt minutes of June 14th, 2017 Museums Bayham meeting as presented.
Moved by Chuck Buchanan, seconded Bob Graham, to accept minutes. All in Favour.
7. Correspondence
7.1 Receive for Information
(a) Museum Curator's Monthly Report May 2017 (attached)
Curator's report was reviewed by Board Members.
Motion to accept Curator's Report as information. Moved by Jeff Robinson, seconded by
Matt Schafer. All in Favour.
(b) Port Burwell Marine Museum & Lighthouse Student's Monthly Reports June
and July 2017 (Attached)
Students' Reports were reviewed by Board Members.
Margaret Underhill attended their staff meeting; a steady increase in admissions and
great success over the Civic holiday long weekend was reported.
Motion to accept Student's Report as information. Moved by Chuck Buchanan,
seconded by Albert White. All in Favour.
7.2 Action Required

8. Unfinished Business
(a) 3 Port Tour August 19, 2017- any additional arrangements to be made
At this point no additional arrangements have been requested by the group. All 3 summer
students will be scheduled August 19, 2017 to manage the Marine Museum and Lighthouse.
(b) Canada 150th Celebrations Even Railway City Big Top September 10/17- call for
Volunteers
Volunteers are still required for the Railway City Big Top event.
Ally Shelly has volunteered for 12-3
Chuck Buchanan is unable to confirm at the present time.
A request for more volunteers will be circulated closer to the September 10th asking for
participation in this event.
(c) Doors Open East Elgin September 16,2017 Museum & Lighthouse- Call for Volunteers
Bev Hickey has confirmed that he will be at the Marine Museum for Doors Open Elgin
September 16, 2017.
A call for volunteers will be requested closer to the date, and confirmed at the September
13th meeting.
9. New Business
(a) Lighthouse-Window washing completed and Liquid Vinyl Siding purchase
(i) Window Washing
Complaints had been made to the summer students, about the windows at the Lighthouse
being dirty, and difficult to see through. Margaret emailed 5 companies for price quotes to
clean the windows.
Bradcranex was the most receptive company, and completed the job quickly.
The job was completed with billing for approximately $460.00 for 6 hours of labour.
The possibility of cleaning the windows annually in the spring will be explored.
(ii) Vinyl Siding
Ron Bradfield had emailed an American company that offered to pay for materials; a 5
gallon pail of paint ($594.00 U.S), leaving the cost of shipping ($201.52) plus applicable
taxes for the Board to cover.
Margaret has made contact with a company in British Columbia called Liquid Vinyl System
(CHIC Liquid Vinyl) that is interested in discussing a price deal for services. The company is
interested in using the opportunity as a marketing tool, which would also give exposure to
the Lighthouse.
A proposal of a long term relationship with mutual benefits was also suggested, this
company is interested in sending a crew, and recording the work to use for marketing in the
future.
The B.C. company can also colour match, if sent a piece of the siding.
It was decided that before a decision is made, the Board will wait to see what price CHIC
has to offer. Any further decisions will be made at the September 13th, 2017 meeting.
(b) Pest Control spraying-winged ants
Courtney at the Lighthouse reported large numbers of winged ants, bothering visitors.
Bev Hickey contacted Lori Wilson and the entire Lighthouse was sprayed with insecticide
from top to bottom after hours Monday July 17th. No more reports of ants at this point. An
invoice for services has yet to be received.
(c) R. Bradfield List of Purchased Marine Artifacts M. Verbrugge's Marine Collection)
cost list to be provided at the meeting (item on agenda at the request of Member R.
Bradfield
Ron Bradfield has purchased a number of artifacts from M. Verbrugge's Marine Collection,
which he is willing to sell to the Marine Museum, if interested. Jennifer Beauchamp is in the
process of reviewing the items. It was discussed whether the items are relevant to the
Museum's collections policy, and if there is space to store items.
As there is no price list included with each item, a motion was made to defer discussion to
next meeting with Ron Bradfield present.
Motion to discuss at next meeting made by Bob Graham, seconded by Jeff Robinson.
All in favour.
10. Finances (Budget)
(a) Budget Report Fiscal Year to date ending August 2, 2017
(b) Museums Budget 2018-2019
Museums Budget for 2017 and proposed Budget for 2018-19 was reviewed and discussed.
Margaret explains that there were certain expenses in regards to the Edison property that
will be reallocated to different accounts which will cause some adjustments to account
balances by the years end.
There are certain services in need of consideration for the next year's budgets that will
reduce the amounts in the Building and Grounds Maintenance accounts considerably.
Albert White suggests that the maple trees on the east side of the Museum be removed;
they are filling the eaves troughs and affecting the neighboring properties. It is suggested
that trees be taken care of in spring 2018.
Chuck Buchannan suggests looking into the issue that is causing the alarm to go off. Albert
White suggests checking the rubber stoppers on the door. Stoppers may have
disintegrated, leaving space for the door to move when closed.
Margaret Underhill also informs the Board that based on asset management and the
projected life span the HVAC system it is due to be replaced in 2019.
