Call to Order Chair Bev Hickey called the meeting to order at 7:00 Monday February 6th, 2017 2. Disclosure of Pecuniary Interest None 3. Review of Items not on Agenda None 4. Announcements None 5. Delegations None 6. Minutes (a) Motion to adopt minutes of December 14th, 2016 Museums Bayham Meeting. Moved by Matt Schafer, Seconded Ray Maddox to accept minutes. All in Favour. A January 2017 meeting was not held. 7. Correspondence a) Museum Curator's Report January 2017 (J. Hunt-Beauchamp) Margaret Underhill presented the Curator's Report and explained that going forward Jennifer Beauchamp will be providing a monthly report informing the Board of the activities and changes being made at the Marine Museum. She currently has several projects updating the displays at the Museum for the coming season. One project is the Elgin County Museum is organizing county wide exhibits with the theme "Transportation". A display is being created at the Marine Museum in order to participate in the exhibitions. Jennifer Beauchamp is also trying to organize an event for a car club with the theme: "Driving the Plank Road". It will include stops at local museums and businesses along the way starting from the Museum School in Ingersoll and ending at the Port Burwell Marine Museum and Lighthouse. b) Advisory Board & Committee Memo Dated February, 2017 (J. Hunt-Beauchamp)The application to create a display for the Ontario Legislature's Community Exhibit Program has been accepted. This year the exhibits will share the theme of Canada's 150th Anniversary. The Marine Museum's exhibit will feature the Shipwrecks in Lake Erie, beginning in the 1850's. A date and time will be assigned for the installation. Margaret Underhill will assist Jennifer with the install in Toronto. 8. Unfinished Business a) Nominations for long term volunteers member of the Museum Board The Municipality supports the nominations for the Ontario Volunteer Service Awards. Nominations for Albert White (5 years), Ray Maddox, (10 years), Chuck Buchanan (10 years), Bev Hickey (10 years), Ron Bradfield (10 years), and Matt Schafer (10 years) have been submitted. The date and time for the presentation has yet to be determined. Typically, the ceremonies are held at the Aylmer Community Complex between March and June. When the Municipality knows more information, the Board and nominees will be notified. b) London Boat Show Feb 24 to 26/17-Attendance-Who will man booth #144? Volunteers are needed to supervise the booth at the 2017 London Boat Show, Friday, February 24th, from 12 - 9pm, Saturday the, 25th from 10am - 7pm and Sunday, the 26 from 10am - 5pm. Ally Shelly will cover from about 3pm to 9pm Friday the 24th. Ron Bradfield will cover Saturday from 10am to 5pm, Ally will cover 5pm to 7pm. Chuck Buchanan will cover Sunday the 26th. Chuck Buchanan and Ron Bradfield will set up the Marine Museum's booth either Thursday (Feb.23rd) afternoon or Friday (Feb.24th) morning. Volunteer Passes will be arranged at a later date. c) Paint Storage at the Marine Museum-Cabinet to be donated by the Municipality A metal cabinet previously used by the bingo group at the Vienna Community Centre has been donated by the Municipality. The paint at the Marine Museum will be stored in the cabinet. d) Paint on the Lighthouse- loose facing paint Southside The paint on the southside of the Lighthouse is separating from the wood. In the spring repairs should be considered before more damage is done. The manufacturer's guarantee should be reviewed, and a professional should be consulted to determine the best options of repair. Ron Bradfield will send Margaret Underhill the manufacturer's information. She will try to contact the company that previously repaired the Lighthouse. e) Bayham Historical Society Rep. to the Board- R. Maddox(to be confirmed) The Bayham Historical Society is holding a meeting Tuesday, February 7th, 2017. They will discuss and appoint a representative for the Museums Bayham Board. 9 New Business a) Curator Contract extended to December 31, 2017 The Curator's Contract has been extended to December 31, 2017. Jennifer Beauchamp will continue at the Marine Museum, 7 hours a week. She is looking forward to the coming year. Nearing the completion of working with the Edison Museum artifacts, more focus will be placed on the Marine Museum. b) King Street maintenance- street to Edison cemetery A staff report regarding budget allowance for street maintenance on King Street in Vienna has yet to be sent to Council for consideration. c) Alarm panel at Marine Museum replaced The alarm system at the Marine Museum repeatedly went off throughout December 2016. The problem is believed to have been caused by the system panel being unable to complete the automatic tests. The panel has been replaced, Eastlink also installed a new exterior line. d) Changes to the Edison Museum items at the Bayham's Family Table restaurant Bev Hickey reports that the Edison display at the Bayham's Family Table continues to be a success. The display was changed slightly after the Christmas season. Plenty of new comments and signatures in the guestbook. e) Edison Museum artifacts donated to Bayham Historical Society- Update The Edison artifacts are to be turned over to the Bayham Historical Society upon the finalization of storage and insurance. The by-law to authorize the donation of the artifacts to the Bayham Historical Society has been passed. Storage in Tillsonburg is being arranged by the Bayham Historical Society, the move will subsequently be organized. Jennifer Beauchamp has assembled a complete artifact inventory to attach to the agreement. The terms of reference for the Museums Bayham Board must be updated as responsibilities will be solely for the Marine Museum. Margaret Underhill will look into adjusting the policies. f) Summer Student Job Postings- Update on timeline The summer job positions for the Marine Museum will be advertised towards the end of February. Job closing date and interviews will be held towards the end of March for position start dates in May upon the completion of the 2017 school year. Upon approval of funding, 3 positions will be available at the Museum. One student from the 2016 season was interested in returning. Margaret Underhill will contact and inquire about the possibility of returning for 2017. 10. Finances (Budget) None 11. Other Business a) Outdoor Maintenance at Museum Ron Bradfield mentioned that the trees behind the Scientific Buoy at the Marine Museum are in need of trimming. Albert White has heard concerns from the public regarding the state of the fence. Request has been made to have Public Works trim the trees and investigate the fence. b) 150th Events Ron Bradfield wonders what the Museum Board is doing to support Canada's 150th events. Should more tents and activities be provided on Canada Day? Possible idea to involve the public by encouraging people to bring in old photos of the surrounding area for scanning and identification. Chuck Buchanan reports that Council has approved the funds to provide themed weather vanes in parts of the municipality. Places are yet to be determined. Board wonders if there are funds available to have flags or banners created for the events. Margaret Underhill suggests that due to the high cost of such that local businesses be contacted for donations. Chuck Buchanan reminds the Board that a committee made up of local businesses and organizations has been created to coordinate events for Canada Day & Canada 150. The next meeting will be held at the Periscope Cultural Centre March 9th, 2017 and 5:00pm 12) Motion to Adjourn Bev Hickey thanked all members meeting on a Monday on his behalf.
