Secretary Kimberly Legg sends her regrets on being unable to attend meeting Ally Shelly will
take minutes as acting secretary in her absence.

3. Review of Items Not on the Agenda
A clipping from the Tillsonburg News was shared regarding the previous weekends Home and
Garden Show. The Tillsonburg Home and Garden Show is advertising for spots in the 2017
show, payment reservations due in two weeks. The Board is asked to consider involvement at
the next years show.
Due to the small size and venue of the Tillsonburg Show, it is believed that the London Boat
show is the better choice in convention involvement.
Ail members are in favour of Passing on the 2017 Tilllsonburq Home and Garden Show. Carried.
4. Announcements
Chuck Buchanan mentions that an E.D.N meeting will be held Thursday, May 5th 2017 at the S
Thomas Railway Museum for those interested in attending.

March, 9 2016 meeting be approved. Motion Carried.
7. Correspondence
7.1 (a) for information only
1. Info from Susan Start regarding old Bayham maps
The Elgin County Archives project with Archives Ontario is making digital access to original maim
of Ontario dating back to 1803. There is an early map of Bayham. Prints can be made as long as
not for commercial use. There was a discussion whether the Museum would be interested in
acquiring a copy of this map to frame and put on display. Susan Start will inquire with the
Archives regarding the possibility of printing and cost a large scale copy of the map.
2. Minutes of the EdisonFest Committee meetings Jan18/16, Feb 15/16& March 29/16
The committee has been advised that the EdisonFest Committee is a subcommittee of
Museums Bayham.
Matt Schaffer shares the topics discussed at the recent EdisonFest Meeting s
Four more volunteers have recently joined
More events are being booked for the festival, castle and a petting zoo. The committee is
looking to have more kid friendly community activities at the festival
EdisonFest will be held the first Saturday in June. In the event of extreme in climate weather
the date will be moved to the following Sunday, Meeting being held next Tuesday to discuss
further.
3. Curator's job posting from Aylmer Express
Acceptance of applications for the Curator's Position closes Friday.
For those who wish to be involved in the hiring process of the curator and students they are
welcome to attend when interviews start.
4. Edison museum pictures in Marelmag.ca
Lynda Millard sends thanks to Chuck & Bev, Marg& Paul she was able to send photos of the
Edison Museum Kitchen Display to Mary Baxter with MorelMag.ca. The images are on display
on the website http://morelmag.cajarticlejhow-food under Small Appliances and Cookware
and Table Settings.
7.2 (b) Action Required
1. Appointment of Helen & Robert Ronson as co-chairs, Matthew Schafer as Vice-chair & Lynda
Millard as secretary of Edison Fest Committee.
It is discussed and agreed upon that Edison Fest Committee, is mostly made up of those on the
Building Committee and business is under the scope of Museums Bayham's jurisdiction.
Motion made by Ray Maddox, seconded by Ron Bradfield to accept the Edison Fest Committee
information.

9. New Business
1,The Board had met with Council Members to discuss the location of the 2016 Edison Museum
Location
A proposition has been to house the artifacts for static display at the Bayham Family Table
Restaurant at no cost. Council is to make the final decision. Will meet next Thursday to decide
further.
it is discussed whether Bayham Family Table should be given an incentive for the use of the
space. For the assistance of paying rent and hydro. It is mentioned that a possible incentive
equal to the amount one full month's rent from the 2015 season should be provided as a
gratuity.
The Board has requested that Chair discusses with CAO that the suggestions have been made
from committee that we recommend Council to offer gratuity for occupation of space as this is
a municipal project.
Committee will continue to discuss at next meeting.
2. A discussion regarding proper signage is needed at new location for Edison Museum site
takes place,
Signage is required inside and outside of the museum location to direct visitors and to provide
explanation of what site contains. It is suggested that a sign be provided in the park to explain
location and that a 10" by 3`sign be provided within the establishment to explain the edict of
the Edison Museum.
It is requested that professionally made signs be created to establish the location and contents
of the Edison museum, durable signs that can be used for the future endeavors of the Edison
Museum.
Motion was made by Albert White and seconded by Chuck Buchanan to inquire to Council about
signage. Motion carried.
(b) Items from Marine Museum in Kingston to be deaccessioned-
At this point no items of interest are being deaccessioned from the Marin Museum in Kington
have presented themselves to the members. It is suggested that the artifacts that this museum
continues to deaccession be continue to be considered in the future.
(c) Entrance Fees & membership (Susan Start)
Last fall it had been discussed to increase entrance fees to the Marine Museum and Lighthouse.
The Board was to revisit this suggestion in the spring before the 2016 season.
The new entrance fees from the sites were discussed and the following price changes were
suggested:
Marine Museum and Lighthouse Entrance Fees:
Adults (13+)- $3 per person per site $5- For both Marine Museum and Lighthouse
$8-Family Rate One Site $12- Family Rate Both Site
12 and under remain free
An annual museum pass valid for unlimited attendance be offered for$15 for entrance to both
site be offered for a trial for the 2016 season. Passes are to be designed by the curator and
students and printed on cardstock.
Motion made to increase fees by Susan Start, seconded by Ron Bradfield to increase entrance
fees for the 2016 season. Motion carried.
(d) Email Agenda or Paper Agenda- memo from Chairperson
The Board is asked to if members would prefer to have agenda and package emailed before
meeting or to have package printed for meeting.
It is discussed that a copy of each meeting agenda be provided for each member at meetings,
those who wish for a full package can print their own.
One or Two copies will be provided to the meeting for reference for meetings.
The entire meeting package including agenda, past month's minutes and supporting documents
will continue to be provided via email approximately a week before meetings.
Moved by all to cease printing of entire meeting package for all members.
10. Finances
Chair will acquire a copy of the 2016 budget for next meeting. One copy will be kept by the
Chair for future budget inquires.
11. Other Business
(a) It is discussed that the scientific buoy outside of the Maine Museum be pressure washed
anti nainted during the 2016 season. The buoy has become quite neglected, dirty and is in need
of cleaning and fresh paint.
Paint had been provided by Dulux the previous year, the paint is still being offered at a buy one
get one free offer.
It is requested that the Chair discuss with CAO about the possibility of the public works or
summer students completing this project over the summer.
Bev and Chuck will meet at 10:00am Thursday April 131' at the Marine Museum to discuss
project needs.
(b) Susan start suggests after the hire of the new curator the committee drafts a list of desired
projects to be completed by the summer students for the 2016 season.
List to be created at next month's meeting.

The Vienna Lions will set up a tent and sell 50/50 tickets at $2 each or 3/$5, with the
draw at 5:30 p.m.

Only approved Media Promo may be used on facebook & twitter. The Libraries and
County are good for local promo. Elgin County Market is not free, prices have been
requested. Early May circulation of program through water/sewer billing to Pt.
Burwell, Vienna, Straffordville, Eden & Richmond users. Municipal sign.
Items (a) & (b) were reviewed and confirmed as presented.
c) Edison Museum public displays are to be placed at Bayham's Family Table
Restaurant during regular open business hours, tentatively, in time for EdisonFest,
if/as approved by Council.
Tentative promotion in remaining outstanding materials is to be incorporated as
possible.
d) Request by email dated April 5 from Denise Love, Area Coordinator, Heart and
Stroke Foundation to waive Vendor fee. Focus on promoting FREE HEART
HEALTHY materials to the public. Discussed & supported

Leann is to incorporate suggested wording, make minor adjustments, including start time
of 9:00 am, circulate for comments, and print for posting by volunteers, along with detailed
program poster, which is to be updated / amended, as necessary and discussed.
Larger posters may be posted as /where space is available.
f) Talent Contest Updated Poster, Form, & discussion re DJ provision of music accompaniment
options - CD, lPod, USB, etc, as well as sufficient equipment to accommodate the Harvest
Road Band & EtoileMcCann.
The Ronsons' noted that they have attended & received positive responses including the
redrafting of the Talent Contest Registration Form/Poster from both Straffordville & Port
Burwell schools and will attend at Summers Corners soon.
Randy provided DJ name Vickie Clarke and will forward contact info by email for
requirement discussion with the Ronsons for Talent Contest organizers and Harvest
Road Band needs.
Lynda will forward contact info to Ronsons. Ronsons to discuss contest judging needs with
Band reps Robert & Heather Derer.
g) As last year's Scout Group is not able to attend, replacement options for a baked goods
sale were discussed.
Wm.Gheysen is to approach the Port Burwell Scouting Group.
If no interest, Ken Andrews is to approach The Concerned Residents of Bayham
Committee to see if they may be.
All participants must meet all relevant Public Health requirements which are

h) The Vendor & Park Layout for 2016 was reviewed, discussed, changes
suggested and incorporated, as deemed appropriate.
Darya noted that she has a considerable list of interested vendors and will discuss
/consider with Lynda for determination of additional invites to be sent out through
other media (ie facebook).
i) Items needed:
# Tents available sizes 10'x10' or 12'x12 tents (popcorn & ice cream (2))
10'x20' tents for pavilion audience & community auction (2)
Ice Chest with electrical cord for ice cream
# Umbrellas available 6 or 7 offered
Limited tables & chairs in food booth
Discussion
Popcorn making will remain in pavilion, Lynda has 2 tents to be set up beside pavilion, 1 for
ice cream & cold drinks, 1 for attendance & draw purposes, and talent contest & game
registration.
ALL ATTENDEES — vendors, entertainment, volunteers are to be recorded once as
present.
An open sided 10'x 20' tent is available for the auction or audience seating. A tent with side
panels is preferred for the auction tent.
Gard will look into other tent options available, if unsuccessful, Darya will seek available tent
donations and/or quotes.
j) Status of Park - EF2015-07 Park to PW
Due to various issues that arose in 2015, arrangements are to be made in early May for
Matt S, Wm G, Bob G & Lynda to meet with the Public Works Supervisor to ensure such
issues do not re-occur.
k) For next meeting:
-Paid Advertising costs & promotion options are to be provided for discussion &
consideration in Elgin County Market, TB Radio Station. (Others - St. Thomas/Elgin
Weekly News, Aylmer Express, TB News, LSS7)
-What needs to be done & who's doing what? Job list
- Review of last year's set up File: MB/EF2016/EFSetup2016
- Customer Service / Health & safety
- Public Health updated requirements / new forms applicable to Food Booth, baked

- Service Providers & Entertainment budget update is within approved amount at last
meeting.
- Fundraising — $600 has been donated, plus additional $100 committed by each the
Vienna Lions & Lioness, silent auction items are being offered.
- $400 has been committed for the purchase of bicycles for draws.
Two 14" bikes have been purchased for the draws. It is hoped to obtain an additional
two 20" bikes, plus a helmet to go with each, from funds being donated.

That the request from the Heart & Stroke Foundation, London to waive the vendor fee be
approved;
That the updated entertainment schedule times be adjusted, as necessary and fees be
confirmed, as discussed, with the option to extend the air bouncers up to two additional
hours, depending on fundraising income;

Citizenship.
Established in 1973, the Ontario Medal for Good Citizenship honours Ontarians who,
through exceptional, long-term efforts, have made outstanding contributions to
community life.
Recipients will be presented with their medal by the Lieutenant Governor of Ontario at a
special ceremony at Queen's Park.

Re: Follow-up report on items from April's meeting
1. Possible gratuity to Bayham Family Table for hosting an unstaffed static display
from the Edison Museum.
The CAD, Paul Shipway told me that we can not pay the Bayham Family Table a gratuity. He
stated it was a conflict of interest for Randy Breyer since he was a member of Council.
2. New signage for the Edison Museum
Spoke to Margaret Underhill and she stated that the info and request for signs regarding the
Edison museum would be put on the next Council agenda.
3. Copy of the 2016 Budget
Spoke to Margaret Underhill and she said that the 2016 budget had not been passed yet.
4. Pressure washing& painting of scientific buoy
I discussed this with CAD, Paul Shipway and he advised that the summer students may do the
work with the assistance of members of the Museum Board members if they wished to help.
5. Approval from Council to increase entrance fees for lighthouse& museum
Done& approved. Copy of approved resolutions follows.
6. Hiring of Curator& Summers students.
Interviews were conducted on Wednesday, April 271" by Margaret Underhill, Brenda Gibbons,
Chuck Buchanan & Bev Hickey. Three students were interviewed. Three more students were
interviewed on Thursday, May 5`" by Margaret & Brenda.
Three people were interviewed on Thursday, May 5th by Margaret, Brenda. Susan & Chuck for
the curator position.
Two memos follow from Margaret& Brenda indicating who is being hired for the positions.

As you can imagine, the folks on the Museums Bayham Board were fascinated to learn of the digitized Talbot maps. At
our meeting last Wednesday, the Chair, Bev Hickey, asked me to inquire about the possibility of the Board's obtaining an
extra-large print copy of the Bayham map, in order to display it permanently in the Port Burwell Marine Museum.
Would that be possible under the reproduction constraints? If it is possible, is that something that Elgin's Archives can
arrange and produce for us;or would we need to inquire directly of the Archives of Ontario? If the latter, if you could give
us directions to the appropriate contact there, it would be much appreciated.
You have much on your plates, and this is not an urgent matter; so there is no need to rush this. It would surely be an
important addition to our museum, and we would include information about its source and Elgin's project in its display.

Hi,and my apologies for inundating you with emails today.
I noticed a few things outside the museum-and wanted your opinion. (Be blunt!) I think that they would improve the
appearance,but you may think otherwise.
1. The map and legend on the post to the right of the door. Could it be removed? The map is very worn,and it doesn't
appear to have much historical significance(maybe I'm missing something). With google maps and all, I don't think folks are
using it to navigate the village. Can we just take it out,or ask the municipality,or should it come up at a museum board
meeting?
2. The two urns that the hort folks plant. Could we ask them to move them elsewhere in the village that might be more
appropriate? Watering them enough has been a problem each summer,and I honestly don't think they are really necessary
to the landscaping here,and kind of conflict with the nautical theme,so they might have better exposure elsewhere. Hort is
just great to do this around the village-and may have another location in mind.
3. One vent cover is broken -high on the west wall south of the door. Could that be replaced -maybe even both of them,
they are pretty yellowed. Just ask the munipality?; take to a board meeting?
4. Do you think we could replace the two wall lights at the door with two round or oblong white marine exterior lights-they
are less than $30 a piece and would fit with the building better. Ask the municipality? Take to a board meeting for a motion?
5. I'd really like to see us/board/municipality spring for a new door-with a secure,non-glare window in it-so much more
welcoming. It also likely should open outward and have a crashbar for fire code. I can raise this at a board meeting.
Thanks so much for listening-Hope you are not shaking your heads too much. Haynes was there all day installing new
eaves and troughs and they look great.

At the next Museums Bayham meeting, would you please inquire of the members as to who is available, and when, to
help with EdisonFest and get back to me please?
Everyone is welcome, and the volunteers would be grateful for as much help as possible I recall that you have offered
already.
As discussed a while ago, we would appreciate at least one student to assist throughout the day as well.
Alternatively, if board members would find it easier to attend at the Lighthouse or Marine Museum,freeing up an
additional student to assist at the Fest, that would be great.
As well, it is anticipated that the Edison& community displays will be set up and open to the public for Edison Fest. I trust
this is coming well?
