Call to Order Chair Bev Hickey called the meeting to order at 7:05 pm 2. Disclosure of Pecuniary Interest None. 3. Review of Items Not on the Agenda Items to he discussed as they arise. 4. Announcements None. 5. Delegation(s) None. 6. Approval of Previous Minutes It was moved by Chuck Buchanan and seconded by Albert White that the minutes of the April 136, 2016 meeting he approved. Motion Carried. 7. Correspondence 7.1 For information only (a) Minutes of the April 19/16 EdisonFest committee meeting Minutes of the April 19" meeting were provided for review. A further meeting was held last night, with another upcoming as needed. (b) Doors Open flyer Doors Open East Elgin will be on September 24th, from 10am—4pm. There is a great photo of our Lighthouse on the flyer. The Board will make a schedule of volunteers during a future meeting. Staff will no longer be working during the Doors Open event, so volunteers will need to be available to answer questions and tidy up for the event. 7.2 Action required (a) Ontario Medal of Good Citizenship The invitation for nominations for the Ontario Medal of Good Citizenship was reviewed. It was moved by Chuck Buchanan and seconded by Susan Start to nominate Albert White as a candidate fir the Ontario Medal_ br Good Citizenship. Carried. The nomination will be put forth for Municipal support and then Chuck Buchanan and Bev Hickey will take care of putting the nomination forward. 8. Unfinished Business: A. Follow up from Susan Start regarding Talbot maps Archives of Ontario have given permission for copying Colonel Talbot's maps of Bayham Township, but there is a cost for a digitized version of the map. Motion made bySusan Start, seconded by Ron Bradfield, to ask the Municipality to obtain a digital copy of the Colonel Talbot's maps of Bayham township fi.r-display at the Marine Museum at the cost of$33.80 with the cost being drawn from the Museums Bayharn budget. Motion Carried The Museums Bayham Board has contact information and ordering details once approved. B. Chairperson Report A follow-up of items from April's meeting were reviewed. 1. The possibility of providing a gratuity to Bayham Family Table had been discussed. It would he a conflict of interest for the owner, Randy Breyer, to accept a gratuity. 2. Information and request for signs for the Edison Museum will be put on the next Council agenda. 3. The 2016 budget has not been passed yet. A copy will be obtained when available. 4. The scientific bouy requires pressure washing and painting. It has been advised that summer students may do the work with the assistance of Museum Board members. Other items will be pressure-washed as well. Chuck Buchanan will look after getting paint from Duplex. 5. Approval has been obtained from Council to increase the entrance fees for lighthouse and museum. Fees will be as follows: Under 12 years free, Adults (13+) $3.00 per person for one site & $5.00 per person for both sites, Family $5.00 per family for one site & $12.00 for both. An annual pass will be available for$15.00. 6. Hiring: Interviews were conducted on Wednesday, April 27th by Margaret Underhill, Brenda Gibbons, Chuck Buchanan and Bev Hickey. Three students were interviewed. Three more students were interviewed on Thursday, May 5th by Margaret Underhill and Brenda Gibbons. Stephanie VanWynngarden, Amanda Harris and Emily Evanitski are anticipated to start work the week of May 16th Our Museum Curator is Jennifer Beauchamp, and will begin the week of May 16th as well. C. Resolutions passed by Council It is confirmed that the previous recommendations from former minutes have been followed up on and confirmed. D. Memos from Margaret Underhill & Brenda Gibbons re curator& students hired Memos were shared with members to outline the hiring of the above mentioned positions, as well as to note that Jennifer Beauchamp would be at the Municipal office on May 9th for a meet and greet followed by a tour of the Museum facilities. E. Establish a list of desired projects & or duties for Curator& students to complete this summer. It was agreed that a priority is the cleaning up and painting of the scientific buoy and the air intake. In addition, the Curator will take leadership or new exhibits, sign changes and the creation and promotion of a season pass. The new Curator will be invited to a Museums Bayham meeting in June. 9. New Business. A. Suggestions from Susan Start regarding improvements to the Museum The vent covers on the front of the Museum are deteriorating. There is a vent cover broken high on the west wall, south of the door. The second vent cover is also yellowed. It was moved by Susan Start and seconded by Chuck Buchanan that the 2 vent hoods he replaced on the west wall elf they museum due to disrepair. Motion Carried. B. Memo from Lynda Millard requesting assistance at Edisonfest Edisonfest will be from 10 - 5 on Saturday, June 4th. Bev Hickey offered to volunteer at the Marine Museum on Saturday, June 4th. Chuck Buchanan will volunteer at the Lighthouse. Students regularly working at these locations will be available to help at the Edisonfest. C. 2017 London Boat Fishing and Outdoor Show The renewal package for 2017 London Boat Fishing and Outdoor show February 24-26, 2017 has been received. Booth#120 has been offered (10 x 10 ft). It was moved by Ron Bradfield and seconded by Chuck Buchanan that we submit the application Jro2017 by the.July 15th early bird rate deadline. Motion carried. ll. Canada Cultural Spaces Fund Information was shared from the Canada Cultural Spaces Fund, offered by the Federal government, asking for application for funding as required. Applications are received on an ongoing basis. The email will be forwarded by the Chairperson to share the links with the Board Members. Information to be reviewed and then discussed at the June meeting. E. For information Trinity Anniversary Trinity Anglican Church 180th Anniversary& Founder's Day will be celebrated with an 11:30 service on May 22, 2016 with a luncheon to follow. Periscope Playhouse June 9rn will be the opening of the new Periscope 'Theatre and Cultural Centre. 10. Finances (Budget): None. 11. Other Business (a) Report from Chuck regarding the EON meeting The Railway Museum student training session will be held June 6th, 2016. The Museum and Lighthouse will need to be manned for students to be able to attend. An application has been submitted to host the OMA conference in Woodstock, Ontario. This will also include tours, etc. through Elgin, Oxford and Norfolk counties either next year or the year after. 12. Next Meeting The next meeting will be held on Wednesday, June 15th, 2016 at 7:00 pm at the Municipal office. Minutes of EdisonFest Committee meeting held April 19, 2016 for approval Moved by: William Gheysen Seconded by Ken Andrews That the minutes be approved. Carried 7. Correspondence 7.1 For Information Only 7.2 Action Required a) Verbal Update of activities to date re: Vendors & Silent Auction, Cross-Cut Saw Challenge. Fundraising, Service providers. It was noted that there has been a slow response from Vendors as well as the Cross- cut challenge invitees and funding supporters. All Service providers have advised they are able to attend on either day. Leann advised that she had a request from a Mascot sales vendor, however there was little interest in having them attend as they tend to offer their products at a high cost. b) Media EF recommendations for potential paid promo Estimated at $50 - $75. Options were discussed and confirmed for 2 placements in a 1 col. (.90 inches wide) X 1 inch deep format in the Tillsonburg News at $8.12. and the LakeShore Shopper at $6.30. Free in 'What's Happening" also included. Elgin County Market to include 2 six line placements at a maximum of $9.60 each, as able. ST/Elgin News and any other free options. All placements to be the weeks of May 22"' and 3011 c) Potential Vendor request specializing in German gingerbread, cookie decorating station or a game to win prizes. Leann advised that the Applicant has since declined. d) Port Burwell Scouts Baked Goods Sale & Public Health Regulations It was noted that the Scouts will meet the Regulations, complete and send Public I IcaIth the form and the. Vendor application to the Municipality. e) Public Health requirements - Food Booth, baked goods & refreshments - New & updated forms &fact sheets are available at www.eldinhealth.on.ca The application to Elgin Public Health for the event also requires communication with the By-law Enforcement officer regarding the Smoking Ontario legislation, as the event is being held on Municipal Park property and there may be limited separation distances required between smokers, food and playground areas. Members agreed that smokers should have a designated area where they are allowed to smoke, that is away from other ongoing activities. Lynda is to follow-up with the Municipality and Public Health for clarification with steps to be taken and carried out as deemed appropriate. 1) Review of program times Corrections were made as discussed and will be posted on the Municipal website as soon as completed. g) Review of Edison Fest Set-up, including detailed Things we need Volunteers to do. Pre-arrangements are to be made with the PW Supervisor to review & confirm all aspects of the Park are EdisonFest ready. asap. Ken Andrews advised that he will help with setup Friday evening & early Saturday morning. h) Customer Service I Health & Safety was deferred to the next meeting as the material' was not available. i) 2 Tents donated for use, believed to be 10' x 20', are without side panels and are to be closed off with tarps as needed. Mary Ellen Miller for community auction items—several tables for set-up + 2-4 chairs + table at end of day Susan Chilcott for pavilion audience — several chairs required + 1-2 tables & 3 chairs for judges at end of day. Unfinished Business There were concerns whether certificates would be given to children coming in 1st, 2nd & 3rd place in the cross-cut saw& nail pounding contests, as well as the Talent contest. Bob Graham agreed to confirm the intent with Hellen & Robert. If it is agreeable, Bob will ask Bruce Bolin to provide the certificates desired. It was noted that prizes for 1st, 2"d & 3place only would be recognized by coupons for two scoops of ice cream for 1St place and 1 scoop each for 2"d & 3'd place. Donated or purchased items valued at $5 or more will be drawn from tickets submitted. Items valued under $5 may be offered through the silent auction or free draws at the discretion of the organizers. 9. New Business A request from the Pt. Burwell Scouts to waive the Vendor fee for the baked goods sale was discussed. After discussion, it was agreed that the Scouts Vendor fee plus relevant HST would be donated and paid by Ken Andrews. 10. Finances (budget) — No update was available. 11. Other Business None 12. Our group of cyclists will be riding from Everett, WA,to Gloucester, MA, US, this summer. Along the way,we will b spending 3 days in the Province of Ontario. One of those days includes a ride from West Lorne to Port Dover acro: some of your beautiful countryside. In 2014 when we did the same thing,you folks allowed us to set up a small rest stop in the parking area of the Port Burwell Municipal Beach This worked really well for us, and we would like to do this again on Friday,August 5,2 Our plan this year would be similar. Our Ford van and utility trailer would arrive at about 08:00-09:00 a.m. The trai would be dropped in a spot that would not interfere with the ability of your other visitors to park or use the facility. 1 would then depart and serve as a patrol vehicle along our ride route. We would set up a table at the rear of the trai prepare to provide the riders with some drinks and energy food. By the time that the riders reach Port Burwell, they will be spread out for miles and will ride in and out, 1 or 2 at a lir a couple of hours. We expect that there will be no impact to the normal activity in the town, at the beach,or any interference with the flow of traffic. Some of the riders may choose to visit some of the local attractions at their discretion. After all of the riders have left Port Bunnell,we will pack up and depart. We are entirely self-contained, carry our o� water,and will be equipped to collect and dispose of our trash. We typically leave no trace of our presence after w leave. Our riders have appreciated the hospitality that you have extended to us in previous years. We look forward to ane very pleasant visit this year. I have very much enjoyed the meetings and taking part in the many decisions that shape our community's appreciation of Bayham's very rich and significant history. In addition, I truly appreciate all of the volunteer hours that each Board member has dedicated to the Museum Board and its various projects and committees. The PB Museum is open starting today and we are ready to go,with a little bit of a learning curve for all of us involved. The County student, Courtney, starts on Victoria Day Monday May 23`d at the Lighthouse. We will staff the Lighthouse for next 4 days and then essentially weekends after that. Immediate project is for the Curator and Students to work on the Edison Museum on Display project to be set-up at the Bayham's Family Table Restaurant, planned to be in place by June 4th EdisonFest. Thank you for this update,and my apology for the tardiness of this response. I had an opportunity to chat at length with our curator,Jennifer,and with Emily Evanitski over the long weekend. i know they,and you,will be consumed with the Edison exhibit this week-such a great initiative to do it this way. I just wanted to respond to your request for board input by mentioning a couple of ideas about the Marine Museum exhibits,and projects for the summer'to do'list,and to thank you for including us in this planning. I expect this will also be an item on our June agenda. Would It be possible for Jennifer to attend our meeting on June 8th? 1. Exhibit. Jennifer and the students likely have all sorts of ideas for a highlight exhibit for this year for the open space as you enter the museum. One that has occurred to me as particularly timely,not difficult to assemble,and-especially-of interest to both residents and visitors might be called'The Great War:Port Burwell,1916: There is a major national push in the cultural sector on the 100th anniversary of the WWI,which this would reflect- but with a particularly Bayham focus. The movable centre panel could be pivoted 90 degrees to camouflage the office entrance,make a more open space and allow the early 20th century PB storefront to be part of the exhibit.The military artifacts could be moved out into this open space. Reference could be drawn to the cenotaph a block away,which records the names of all the Bayham residents who served. The Legion could be approached for input-a wonderful connection from the museum into the community. One of our Museum board members,Ally Shelly,attends Legion meetings and would be a great liaison. (Jennifer and Emily will recognize this;we spoke about it last week.) 2. Promotion. Once Edisontest is over,promotion of both the Edison and the Marine Museum special exhibit,the new fee structure and season pass and,summer programs-is key in June,and I am sure that Jennifer,Stephanie,Amanda and Emily are already thinking of ways to do this. Flyers-one for exhibits,one for the season pass,one for summer programs--blitzed to PB homes and cottages;to PB and Straffordvilie schools for distribution; Posters-to the post office,local businesses,the park,submarine;municipal website;articles to LE Beacon,Tillsonburg News,and Aylmer Express. I daresay board members would be happy to help with a flyer blitz. We so want to reconnect our residents with our museums. Again,thank you so very much for your leadership role-I think you have a real team buzz starting. Do not spend any time on these suggestions this week-Edison is paramount! On one note, the students prepared and submitted Museum information to both public schools last week in time for inclusion in their June newsletters for the children.
